Role overview
City Centre Rotana Doha is looking for a motivated and service-oriented Secretary to support the Finance department with a wide mix of administrative and confidential tasks. The role calls for excellent communication, strong organization, and a proactive approach to keeping day-to-day operations running smoothly.
This position is located at City Centre Rotana Doha in Doha, Qatar.
Key duties
- Sort and prioritize incoming correspondence each day, assess what needs attention, and respond or route it appropriately.
- Draft standard letters and routine communication, and provide simple interpretations of documents when required.
- Prepare, compile, and circulate reports, records, and other business documents.
- Handle incoming calls, share information when appropriate, or direct callers to the right contact.
- Maintain an up-to-date calendar to support meetings and appointments.
- Manage filing systems, contact databases, and records, while tracking pending tasks and following up on outstanding items.
- Coordinate meetings and record minutes accurately.
- Act as an administrative point of connection so information reaches the relevant people on time.
- Arrange business travel and carry out additional duties as assigned.
Profile and qualifications
The preferred candidate should hold a college diploma in secretarial training and bring relevant prior experience. Strong written and spoken English is essential, along with the ability to take clear notes in meetings and turn them into accurate records. Good computer skills and fast, accurate typing speed of 60 words per minute will be an advantage.
The role also requires someone who is polite, discreet, dependable with confidential matters, and able to work independently with limited supervision. The right person will be energetic, confident, approachable, and comfortable working in a fast-paced environment under pressure. A strong team mindset and commitment to quality are important as well.
