Role Overview

This full-time, on-site position in Accra is for a Facility Officer responsible for managing day-to-day facilities operations, organizing maintenance work, maintaining health and safety compliance, and resolving facility issues quickly. The role also involves working with both internal teams and outside stakeholders, offering service support, and communicating clearly to close out facility concerns.

Key Duties

  • Lead the resident technical team by assigning daily tasks, offering direction, and monitoring performance for the plumber, electrician, and AC technician.
  • Hold regular team briefings to plan maintenance work, review priorities, and address operational issues.
  • Track attendance, workmanship, and conduct, and escalate performance issues to the Facility Manager when needed.
  • Oversee outsourced vendors during site visits and confirm that work is completed to the agreed scope, schedule, and quality level.
  • Create, manage, and update a preventive maintenance plan for all hard building services.
  • Ensure equipment and systems are serviced at the required intervals according to manufacturer guidance and industry good practice.
  • Maintain a preventive maintenance tracker and report completed tasks and outstanding items to the Facility Manager.
  • Spot recurring faults and put corrective actions in place to reduce repeated breakdowns.
  • Act as the main contact for hard services failures, faults, and urgent repair requests.
  • Assess incoming maintenance requests, prioritize them, and respond quickly to reduce disruption to operations.
  • Coordinate emergency repairs and arrange vendors where in-house resources are not enough.
  • Keep detailed records of reactive maintenance jobs, including response time, actions taken, and final resolution.
  • Perform routine technical inspections of hard services systems such as switchboards, distribution boards, plumbing networks, HVAC units, and related equipment.
  • Maintain an accurate asset register covering installation dates, service history, warranty details, and replacement timelines.
  • Identify aging or failing equipment and recommend planned replacements or upgrades.
  • Ensure all maintenance work complies with electrical, plumbing, gas, and building safety requirements.
  • Apply and enforce permit-to-work controls for higher-risk tasks such as electrical isolation, work at height, and hot works.
  • Confirm that technical staff and contractors hold valid certification for their respective trades.
  • Keep statutory inspection and compliance records up to date, including electrical reports, PAT testing records, and water hygiene logs.
  • Support the Facility Manager with budget preparation, cost estimates, procurement requests, and capital works inputs for hard services.

Qualifications and Experience

The position calls for a technical background in facilities or building services, along with strong hands-on experience in hard services maintenance. The successful candidate should be comfortable supervising tradespeople, managing contractors, and working across electrical, plumbing, and HVAC systems in a commercial, institutional, or multi-use setting.

Technical Requirements

  • Solid working knowledge of electrical systems, plumbing infrastructure, HVAC, and general building services.
  • Ability to develop, monitor, and improve preventive maintenance schedules.
  • Confidence in reading technical drawings, schematics, and equipment manuals.
  • Good understanding of health and safety requirements, permit-to-work systems, and risk assessment.
  • Competence with Microsoft Office tools.

Qualifications

  • At least 4 to 5 years of experience in hard services facilities management or building maintenance.
  • Minimum 2 years of experience supervising maintenance technicians or tradespeople.
  • Practical exposure to electrical, plumbing, and HVAC systems in a commercial, institutional, or multi-use environment.
  • Experience managing outsourced contractors and service level agreements.
