Role overview
An ambitious and fast-moving founder is looking for a highly organized Executive / Personal Assistant to act as a dependable partner across both professional and personal priorities. This position suits someone who enjoys variety, can shift gears quickly, and is motivated by creating structure in a constantly changing environment. The right person will be proactive, detail-focused, comfortable with technology, and able to anticipate needs before they are raised.
You will be closely involved in the founder’s day-to-day workflow, helping keep schedules, communications, projects, and logistics running smoothly while also handling personal support, travel, errands, and special requests. The role calls for discretion, sound judgment, flexibility, and a strong sense of ownership.
Responsibilities
- Act as a strategic partner and trusted support resource, not just a task handler, helping the founder stay centered on key priorities.
- Oversee a demanding calendar that blends business and personal commitments and changes frequently.
- Arrange meetings, calls, appointments, and all related scheduling details.
- Support inbox management, communication follow-ups, and prioritization of next steps.
- Create agendas, briefing materials, and meeting prep documents when needed.
- Monitor projects, deadlines, and deliverables to keep work moving forward on time.
- Serve as a professional point of contact and gatekeeper for internal and external stakeholders.
- Organize travel within the U.S. and internationally, including itineraries, bookings, reservations, and ground transportation.
- Handle personal scheduling, gifting, errands, and lifestyle coordination.
- Research and identify vendors, services, products, and practical solutions.
- Support special assignments and ad hoc needs across business and personal areas.
- Improve daily operations by building efficient systems and workflows.
- Communicate with clients, partners, vendors, and other contacts in a polished and discreet manner.
- Assist with events, networking dinners, offsites, and related logistics.
- Carry special projects from planning through completion.
- Spot opportunities to streamline processes and strengthen organization.
- Help prevent missed deadlines, overlooked tasks, and operational gaps in a fast-paced setting.
Requirements
- At least 5 years of experience supporting a founder, entrepreneur, executive, or other senior-level professional.
- Prior exposure to startup, entertainment, media, creative, or entrepreneurial environments is preferred.
- Excellent organizational ability with strong attention to detail.
- Clear and effective written and verbal communication skills.
- Highly proactive, resourceful, and focused on finding solutions.
- Comfort working across multiple priorities with frequent changes in direction.
- Strong command of modern productivity and communication tools.
- Sound judgment, discretion, and the ability to handle confidential information.
- Positive, can-do mindset and willingness to take on any task as needed.
- Reliable ownership of responsibilities and follow-through.
- Ability to anticipate needs and think ahead several steps.
Compensation and schedule
The role is full-time and offers flexibility in scheduling. Compensation is up to $100,000 per year, along with a healthcare stipend.
