Job description
About the Company
AI Engineer is the operating brand behind Software 3.0, a worldwide events and community platform built for AI engineers. The business runs major-scale events, is expanding rapidly, and is extending its presence across multiple regions while building a global audience.
Role Overview
This Executive Assistant position supports the General Manager in a high-impact capacity. The purpose of the role is to create more bandwidth for the General Manager by helping manage complexity, keep priorities clear, and move work forward across the business.
As the organization scales, the volume of decisions, projects, and cross-functional coordination increases. In this role, you will help identify what deserves attention, ensure follow-through, and keep teams aligned so the General Manager can stay focused on strategy and growth. It is not a conventional admin role; it combines operational support, project coordination, and exposure to broader business activity.
Key Responsibilities
You will primarily support the General Manager in staying organized, responsive, and effective.
- Organize and triage a busy inbox and incoming requests, deciding what needs immediate action and what can be passed on.
- Follow up with team members to make sure tasks and commitments are completed.
- Support the setup and coordination of new initiatives, including early-stage planning.
- Bring together relevant stakeholders, clarify next steps, and monitor progress.
- Help projects keep moving without requiring constant intervention from the General Manager.
- Maintain visibility into priorities, deadlines, and cross-team dependencies.
- Keep leadership updated on progress, risks, and blockers.
- Ensure the General Manager receives the right information at the right moment.
- Support leadership meetings, planning discussions, and ongoing coordination.
- Track commitments and help turn decisions into action.
- Manage scheduling, travel arrangements, and daily logistics.
- Coordinate team offsites and internal workflows.
- Handle communication and follow-ups across different teams.
The role blends strategic judgment with hands-on execution, with a strong focus on prioritization and coordination.
Required Qualifications
- Prior experience supporting a founder, CEO, General Manager, or another senior business leader.
- Background in a startup or other high-growth environment.
- Proven ability to handle several projects and changing priorities at once.
- Strong decision-making skills and the ability to set priorities independently.
- Experience collaborating across teams, time zones, and functions.
- Comfort working with confidential or sensitive information.
- Working knowledge of Google Workspace, Slack, Notion, and project management platforms.
- Comfort using AI tools to improve productivity and streamline workflows.
- Ability to thrive in a fast-paced setting with shifting priorities and limited structure.
Preferred Qualifications
- Experience in technology, AI, SaaS, developer ecosystems, or events.
- Exposure to growth, operations, partnerships, or expansion work.
- Background in preparing reports, planning sessions, or business reviews.
- Experience creating structure or processes inside a scaling organization.
- Formal training or hands-on experience in project management.
Compensation and Benefits
The base pay for this position is $80,000 to $100,000, depending on experience. The package also includes meaningful equity, health insurance, a 401(k) plan, and paid time off.
Additional Information
This is a remote position that is primarily aligned to Eastern Time hours. The role requires flexibility, particularly during events and travel periods. Occasional weekend work may be needed when live events are running, and travel is required for key events.
