Role Overview
The Executive Assistant will serve as a trusted partner to two founders, helping them focus on the highest-priority work while ensuring the many moving parts of the business stay organized and on track. This position offers wide exposure across the company and the opportunity to influence how a growing organization operates day to day.
Key Responsibilities
- Manage the founders’ calendars with strong judgment, keeping deep-work time protected, prioritizing urgent items, and ensuring they are fully prepared for meetings.
- Anticipate scheduling issues such as overlaps, conflicts, and last-minute changes, and resolve them proactively.
- Build realistic schedules by allowing for travel time, focus blocks, and other buffers that keep the day running smoothly.
- Arrange domestic and international travel, including flights, hotels, ground transport, and the meetings or meals connected to those trips.
- Create detailed travel plans with confirmation details, key contacts, and all necessary information for easy reference.
- Track expenses and support timely reimbursements.
- Prepare meeting agendas, document action items, and follow up to drive decisions forward.
- Act as a link between the founders and the wider leadership team.
- Organize team offsites, dinners, and office celebrations that strengthen culture as the company grows.
- Manage thoughtful gifting for employee milestones, clients, holidays, and founder outreach.
- Work with the People/Admin team to support employee experience and community-building efforts.
- Coordinate board-related logistics such as scheduling, venues, catering, technology, and materials so meetings feel seamless.
- Arrange travel, lodging, and dinners for board members with professional and consistent communication.
- Provide discreet personal support to the founders, including occasional scheduling, reservations, errands, and other private logistics as needed.
- Assist with ad hoc research, purchases, and logistical tasks that come up in close collaboration with busy executives.
Requirements
- Previous experience supporting a senior leader, managing an office, or working in a role with significant trust and responsibility.
- Strong discretion when handling calendars, finances, and confidential conversations.
- Excellent communication skills, both written and verbal, with the ability to respond appropriately to different situations and people.
- A professional, warm demeanor combined with meticulous attention to detail.
- Comfort using or quickly learning tools such as Google Workspace, Slack, Notion, Shopify, Greenhouse, and Justworks.
- Resourceful, fast-moving, and able to identify issues early while bringing forward practical solutions.
Compensation and Benefits
The base salary for this role is $70,000 to $80,000 per year, with eligibility for an annual performance-based bonus.

Work Arrangement
This is a full-time, in-person position based in New York City, New York.
