About the Company

R.C. Thornton II, also known as Back Tax Relief Expert and Champion Tax Relief, Inc., is an expanding tax resolution business that supports owners facing serious IRS problems. The work centers on complex matters such as unfiled tax returns, active enforcement actions, and multi-year compliance challenges. The organization is moving from a founder-led setup into a professionally managed structure, and the CEO is looking for a strong partner to help support that transition.

Role Overview

This position is far more than a standard administrative role. The company is not seeking someone whose main focus is phones and paperwork. Instead, it needs a highly capable and initiative-driven Executive Assistant who can act as the CEO’s gatekeeper and productivity partner.

The main goal is to safeguard the CEO’s time, energy, and attention so he can focus on strategic priorities, leadership, and marketing initiatives that create the greatest impact. The ideal candidate will stay ahead of issues, organize complexity, and keep important work moving without things being missed.

Key Duties

You will own the flow of communication, prioritize what reaches the CEO, manage scheduling, coordinate information from different departments, and keep CEO-level projects on track. In addition, you will assist with travel, personal appointments that interfere with work, and other tasks that make the CEO’s day run more smoothly.

Communication Management

Take charge of the CEO’s inbox and internal Teams messages. Separate routine items from urgent matters, respond to straightforward requests, send issues to the right team members, and prepare a concise daily summary containing only the matters that truly need the CEO’s input.

Calendar and Meeting Coordination

Protect the CEO’s schedule by setting aside uninterrupted time for focused work, arranging internal and external meetings, and making sure he enters each call with the right context, including who he is speaking with and what decisions need to be made.

Reporting and Information Flow

Collect weekly updates from leaders in Sales, Marketing, and Operations, then turn those updates into a clear dashboard or summary that gives the CEO an at-a-glance view of progress and priorities.

Project Ownership

Move executive initiatives forward by handling research, vendor coordination, hiring logistics, and other execution-heavy tasks tied to leadership priorities or company growth projects.

Personal and Executive Support

Assist with travel planning, personal scheduling conflicts, and practical tasks that reduce friction in the CEO’s day-to-day life.

Candidate Profile

The right person is highly proactive, able to identify problems before being asked, and confident proposing solutions for approval. They should have strong emotional intelligence, be tactful in difficult situations, and be comfortable delivering a firm message on behalf of the CEO without creating unnecessary tension.

This role also calls for excellent organization, strong memory for details, and a systems-based approach that ensures nothing is overlooked. The ideal candidate can work effectively with incomplete instructions, turn vague requests into structured research, and handle sensitive information with absolute discretion.

Requirements

Applicants should have at least 3 years of experience supporting a C-level executive, founder, or business owner. Background in a fast-moving, high-growth setting such as an agency, consulting firm, or professional services company is preferred. Strong written and spoken communication skills are essential, along with advanced comfort using CRM platforms, Microsoft 365 tools including Outlook, Teams, and SharePoint, and project management software.
