Role overview
Duolingo is looking for an Executive Assistant to the CEO who will help keep the CEO centered on the company’s most important priorities and ensure each day runs efficiently. The role includes managing a highly complex calendar, handling important logistics, and working closely with the Office of the CEO to improve clarity, continuity, and execution across internal and external commitments. This is an on-site position with frequent interaction across executive leaders and executive assistants.
Key responsibilities
- Manage the CEO’s calendar from end to end, making sure time is aligned with business priorities, stakeholder demands, and leadership routines; resolve conflicts ahead of time and safeguard space for preparation, travel, and focused work.
- Work in close coordination with the Chief of Staff, the Head of the Office of the CEO, and fellow executive assistants so the CEO’s schedule stays aligned with strategy and transitions are handled smoothly.
- Organize detailed domestic and international travel arrangements, including itineraries and logistics for board sessions, off-site meetings, and external events.
- Create simple systems and documentation that improve executive processes; use current productivity tools and AI-enabled methods to increase speed, quality, and dependability.
- Act as a trusted contact for internal and external stakeholders, handle sensitive information carefully, and represent the CEO’s office professionally.
Requirements
- Extensive experience supporting a CEO, founder, or senior executive whose calendar and priorities change frequently.
- Proven strength in managing high-volume schedules, logistics, and meeting preparation, with a consistent ability to foresee needs and address issues before they escalate.
- Excellent organization plus strong written and verbal communication skills, with a habit of keeping details accurate, documentation clear, and stakeholders informed.
- Strong discretion and judgment, calm execution under pressure, and a service-oriented approach that helps leaders perform at their best.
- Comfort working across senior leadership and cross-functional partners, and collaborating in person with the Office of the CEO and other EAs.
- Working knowledge of modern collaboration and productivity platforms such as G Suite, Slack, Zoom, and Mac, along with interest in using AI to simplify workflows.
- Preferred background includes 10 or more years supporting CEOs in fast-growing or complex organizations.
- Experience coordinating board meetings, leadership off-sites, and major external engagements across multiple time zones is an advantage.
- Previous partnership with a Chief of Staff and/or Office of the CEO team to align executive time with strategic goals is valued.
- Experience applying generative AI and automation in an EA role to improve delivery speed and quality is beneficial.
- Collaboration with a broader Executive Operations or People team is also a plus.
Compensation and benefits
The compensation offered depends on factors such as work history, skills, and internal pay comparisons, and the posted range may change later. Base pay for this position is complemented by equity. The stated salary range is $152,000 to $228,000 USD.
