Overview
This opportunity sits within a fast-growing executive search firm serving senior clients in Financial Services and Legal Services. The business operates from London and New York and partners with leading organisations on retained searches at C-suite and board level. It is a demanding, high-standards environment where colleagues are expected to take their work seriously.
The role supports the Co-Founder and Managing Director, who divides time between London and New York. It blends classic executive support with a more proactive, commercially aware element, making it a hybrid between an Executive Assistant and a junior Chief of Staff. The final title is still being confirmed internally and will depend on the profile of the successful hire.
Role Summary
You will be the day-to-day operational anchor in the London office, with clear visibility across live mandates, client relationships and internal priorities. The role requires someone who can keep the MD organised, represent the business professionally, and make sure important actions keep moving even when time zones and travel create gaps in communication.
Alongside administrative and logistical support, you will be expected to think ahead, follow up on commercial opportunities, manage actions from senior meetings, and work closely with internal and external stakeholders to keep momentum high.
Key Duties
- Coordinate the MD’s calendar, international travel, meetings, bookings and general logistics across London and New York.
- Serve as a key contact in the London office, with oversight of active client mandates and internal priorities.
- Track and follow up on client initiatives and commercial opportunities on behalf of the MD.
- Record minutes in senior-level meetings and take ownership of action items and next steps.
- Liaise with senior internal and external stakeholders to support the MD’s objectives.
- Prepare, manage and refine correspondence, briefing notes and other communications for the MD.
- Help maintain the smooth operation of a fast-paced, client-facing executive search firm.
Candidate Profile
The ideal person will already have experience supporting a Managing Director, Co-Founder or senior C-suite leader and will understand the pace and responsibility that comes with that level of support. A corporate background is important, as is confidence working with senior leadership teams both internally and externally.
You should be comfortable handling both practical execution and strategic thinking, and you should not view either as more important than the other. The right person will be discreet, reliable, self-starting and calm under pressure, especially when priorities change quickly.
Strong written and verbal communication skills are essential, along with the ability to represent the MD professionally in any setting. A degree is required.
