Job description

Position Overview

We are hiring an exceptionally organized and proactive Executive Assistant to the CEO who also has solid administrative operations and budget management experience. This position combines high-level executive support with responsibility for administrative budgeting, expense monitoring, vendor coordination, and smooth office functioning. The right candidate will be meticulous, financially aware, and able to juggle multiple priorities with professionalism and discretion.

Executive Support

  • Maintain the CEO’s calendar, schedule meetings and appointments, and arrange travel plans.
  • Draft reports, presentations, meeting packs, and official correspondence.
  • Serve as a communication link between the CEO and both internal teams and external contacts.
  • Record meeting notes and ensure follow-through on assigned action items.
  • Manage sensitive information with complete confidentiality and discretion.

Administrative Operations

  • Handle daily administrative tasks and oversee office operations.
  • Liaise with vendors, service partners, and facility management teams.
  • Create, refine, and maintain administrative policies and procedures.
  • Assist with company events, executive-level meetings, and special assignments.

Budget Management

  • Prepare, monitor, and administer the budget for the administrative function.
  • Track expenditures and confirm that spending stays within approved limits.
  • Process invoices, purchase orders, and vendor payments.
  • Review budget differences and prepare financial summaries for leadership.
  • Look for ways to reduce costs and improve operating efficiency.
  • Work closely with Finance on budgeting, forecasting, and expense reconciliation.

Qualifications

  • A bachelor’s degree in Business Administration, Finance, Management, or a related subject is preferred.
  • At least 5 years of experience in an Executive Assistant, Senior Administrative Assistant, or comparable role supporting senior leaders.
  • Proven background in managing administrative or operational budgets.
  • Strong understanding of financial processes, including budget monitoring and reporting.
  • Advanced skills in Microsoft Office, particularly Excel and PowerPoint.
  • Excellent coordination, communication, and multitasking abilities.
  • Capable of working independently while maintaining strict confidentiality.
