Position Summary
This unique and highly visible role at SILVERSIDE merges executive support with event coordination, sales operations, and marketing administration. The position involves providing direct support to the Managing Partner and Co-Founder, alongside coordinating critical business development, marketing, communications, and event activities company-wide. This role begins with a temporary period of 30-60 days, with a strong potential for conversion to a full-time position.
Essential Duties & Responsibilities
Executive Scheduling & Calendar Management
Provide comprehensive calendar and scheduling support for two company executives. Key responsibilities include managing intricate calendars and meeting schedules, coordinating internal and external meetings, liaising with clients, partners, investors, media, employees, and industry contacts, prioritizing requests to ensure executives focus on high-value activities, scheduling appointments, calls, presentations, and events, and managing meeting logistics and preparatory support.
Travel Planning & Coordination
Offer support for domestic and international travel arrangements for company executives. This entails booking flights, accommodations, and transportation; managing itineraries and travel schedules; handling travel-related documentation and logistics; maintaining executive travel calendars; and collaborating with the Director of Executive Operations on complex travel arrangements.
Event Coordination & Management
Assist in the planning and execution of SILVERSIDE events, conferences, client meetings, and industry activations. Responsibilities include coordinating logistics for company-sponsored and partner events, managing event timelines and project plans, arranging venues, vendors, guest lists, invitations, and registration, collaborating with internal teams and external partners for seamless event execution, supporting executive participation in speaking engagements and conferences, and acting as a professional representative of SILVERSIDE.
Sales & Marketing Coordination
Support SILVERSIDE's business development, communications, and marketing initiatives. This includes assisting with sales outreach and communications, managing marketing calendars and content schedules, supporting executive communications and publicity efforts, aiding in press outreach, event promotion, and thought leadership activities, and coordinating marketing assets, presentations, and materials.
This aspect of the role presents significant avenues for professional advancement and increased responsibility.
Required Knowledge, Skills & Abilities
- 2–4 years of experience in an executive assistant, administrative, coordinator, project management, or similar capacity.
- Proficiency in managing complex calendars and schedules.
- Excellent written and verbal communication capabilities.
