About the Role

The Executive Assistant will work closely with the Chief Financial Officer and Chief Marketing Officer as a strategic partner in a high-growth setting. This position is more than routine administrative support: it helps senior leaders stay focused, organized, and moving on the most important priorities. The role calls for someone who can work well in uncertainty, act with urgency and discretion, and bring order to a scaling organization.

Key Responsibilities

  • Partner closely with the CFO and CMO to manage priorities, calendars, and time so their attention stays on the highest-value work.
  • Stay ahead of needs by identifying risks, highlighting tradeoffs, and solving issues before they become blockers.
  • Take full ownership of complex calendar coordination for both executives.
  • Help prepare for leadership team meetings by creating agendas, collecting pre-reads, defining expected outcomes and next steps, and making sure follow-up items are completed.
  • Support full-team meetings by helping build presentation decks, creating templates, and coordinating contributions from each leader.
  • Provide light inbox support for both executives.
  • Assist with execution of important initiatives by arranging cross-functional meetings, monitoring milestones, and keeping priorities aligned.
  • Manage internal and external communications for leaders with strong judgment, clarity, and confidentiality.
  • Improve operational flow by organizing workstreams, streamlining processes, introducing structure, and using AI to boost productivity and efficiency.
  • Arrange travel and logistics in a practical and cost-conscious way so leaders remain prepared and effective while traveling.
  • Protect sensitive information and handle it with professionalism, discretion, and trust.
  • Act as a strong connector across teams and help different parts of the organization work together more effectively.

Requirements

  • At least 5 years of experience supporting senior executives in a fast-paced, scaling, or high-growth environment.
  • Strong attention to detail, excellent organization, and the ability to prioritize across changing demands and multiple stakeholders.
  • A fast pace of work and the expectation that others can keep up as well.
  • Sound judgment and discretion, with proven experience handling confidential matters and acting as a trusted partner.
  • Excellent written and spoken communication skills, including the ability to draft correspondence, prepare executive briefs, and communicate on behalf of leaders professionally.
  • Comfort using AI tools to improve productivity and effectiveness.
  • Hands-on experience with modern workplace tools such as Microsoft 365, Outlook, and Teams, plus familiarity with project management tools like Asana and a mindset for continuous improvement.
  • Preferred background in technology, SaaS, or startup environments, especially in remote or distributed teams.
