About the Role
Arthrex is an international medical technology company known for advancing product innovation and medical education in orthopedics. This position supports senior leaders with high-level administrative, organizational, and coordination work while also taking ownership of day-to-day office operations. The role acts as a central point of contact for leadership, employees, and external partners, helping the workplace run smoothly and professionally.
Executive Support
- Keep executives’ calendars organized by anticipating scheduling needs, resolving conflicts, and managing meeting priorities.
- Arrange both local and overseas travel, including itineraries, agendas, logistics, and timely expense submissions.
- Coordinate meetings, board sessions, presentations, and industry events, making sure all required materials, equipment, and hospitality arrangements are in place.
- Review incoming emails and physical mail, then draft, refine, and complete correspondence and formal documents as needed.
- Manage sensitive and confidential information with a high degree of professionalism and discretion.
- Receive regional visitors and work closely with internal teams across different locations.
- Assist with ad hoc executive initiatives and special assignments, delivering accurate and high-quality support.
Office Administration & Facilities Management
- Act as the main point of contact for office matters such as building concerns, maintenance, security, facilities, and office supplies.
- Help ensure office equipment remains functional through preventive upkeep, repair coordination, vendor management, and assessment of new tools.
- Support office relocations, space planning, workstation setup, and internal moves.
- Monitor and manage inventory, pantry stock, and related expenses for the main office, warehouse, and MedEd.
- Supervise pantry assistants and help maintain a clean, orderly, and presentable office environment.
- Coordinate the weekly lunch program, including menu ideas and themed activities.
- Handle incoming and outgoing mail, courier arrangements, and document movement.
- Oversee access control systems such as door and card access, including after-hours access coordination.
- Maintain budgets, contracts, service agreements, and facility records.
- Serve as Fire Safety Warden and help uphold workplace safety requirements.
- Provide barista support for MedEd when necessary.
Visitor & Staff Support
- Greet and assist visitors, guests, and new joiners to create a welcoming and professional first impression.
- Communicate effectively and courteously by phone, email, and face-to-face.
- Coordinate office events, special meetings, guest visits, and cross-functional support activities.
- Offer general administrative help to employees to keep office operations efficient and organized.
Additional Duties

Education & Experience
- A diploma or an equivalent level of work experience is required.
- Applicants should have 7 to 8 years of demonstrated experience in executive support, office administration, or a similar administrative function.
- Practical experience in facilities and building management is important.
- Experience in multinational companies or multicultural environments is preferred.
- Strong knowledge of office systems, tools, workflows, and operating procedures is needed.
- Background in office renovation or improvement projects is an added advantage.
- Barista experience is considered a plus.
