Job description
Position Overview
The Development & Communications Associate plays a key role in supporting fundraising, grant oversight, and communications activities within the organization. The position ensures smooth daily functioning of the Development Office by providing administrative assistance to the Director of Development. Additionally, the Associate aids the Foundation & Grants Officer with private and government grant tracking, deadline management, and maintenance of grant documentation. Communications support includes email campaigns, social media oversight, website content updates, and developing materials to enhance public awareness and engagement.
Primary Responsibilities
- Maintain and update the Development Office database Raiser’s Edge, generating reports as necessary.
- Coordinate and issue all gift acknowledgment letters.
- Assist the Foundation and Grants Manager in handling all private and government grants via Raiser’s Edge, including monitoring grant progress, preparing and submitting reports, and scheduling meetings with funders.
- Provide support to Annual Fund and Special Events teams.
- Organize and oversee office volunteer activities.
- Maintain up-to-date rosters for the Board and Board Committees.
- Arrange logistics for Board Meetings and Development and Nominating & Governance Committee sessions, including compiling meeting materials and minutes.
- Collaborate closely with Board members and volunteers.
- Support fundraising, Board, and community outreach events.
- Contribute to communications tasks such as managing social media and email marketing campaigns.
- Manage front desk phone coverage and general office communications.
- Perform other duties as assigned.
Qualifications & Experience
- Bachelor’s degree from an accredited institution.
- Between one to three years of experience in development or communications roles.
- Proven ability to engage and motivate volunteers, staff, and board members.
- Database management experience is advantageous.
Skills Required
- Excellent organizational and administrative capabilities with strong interpersonal and telephone communication skills.
- Highly detail-oriented with a capacity to manage multiple responsibilities efficiently.
- Proficient with Raiser’s Edge, Microsoft Word, Excel, and PowerPoint for data management and documentation.
- Professional attitude, adaptable and capable of handling competing priorities.
- Effective time management and able to perform well under pressure.
- Customer-focused approach.
- Ability to work independently and collaboratively within a team environment.
- Comfortable interacting with all levels of volunteers and donors.
- Strong dedication to the organization’s mission and values.
Work Environment & Physical Requirements
- Flexible work hours required including weekends and evenings.
- Travel to multiple program sites and community locations is necessary.
- Must hold a valid Maryland driver’s license, have car insurance, and be willing to use a personal vehicle for work purposes.
- Physical demands are minimal, with occasional lifting up to 25 pounds.
- Mental demands include utilizing acquired knowledge, critical thinking, sound judgment, organization, and tact to manage a fast-paced environment with distractions.
- Engagement with Board members, volunteers, and elected officials requires a polite, cooperative demeanor and excellent communication skills.
