Role Overview
We are seeking an Executive Assistant to support the Chief Content Officer, a pivotal leader overseeing the brand, editorial, and creative functions at Wealthsimple. This role is integral in ensuring operational efficiency and timely execution of priorities within a high-velocity creative environment. The ideal candidate is a proactive organizer, adept at managing complex schedules, anticipating needs, and facilitating seamless communication and collaboration.
Responsibilities
- Manage the executive's calendar with strategic oversight, prioritizing critical tasks and minimizing distractions.
- Track upcoming deadlines, overdue items, and progress to maintain momentum within the team.
- Provide availability during critical times, including weekends, to support timely product launches.
- Coordinate meetings by preparing agendas, taking notes, tracking follow-ups, and ensuring team accountability.
- Draft communications, prepare briefs, and handle correspondence with sound judgment on escalation needs.
- Manage administrative duties such as expense processing, invoice handling, travel arrangements, and document organization.
- Develop and maintain relationships with direct reports, cross-functional partners, and leadership to sustain context and alignment.
Qualifications
- Five to seven years of experience supporting senior leadership, preferably in creative, branding, or editorial settings; agency or high-growth environments preferred.
- Exceptional organizational skills with an anticipatory approach to managing tasks and priorities.
- Ability to assertively prioritize and protect the leader's time with confidence and tact.
- Strong emotional intelligence to adapt to varying working styles and situations.
- Excellent communication capabilities, including concise writing, briefing, and knowing when to engage verbally.
- Comfort with dynamic and shifting priorities, remaining composed and focused to keep work advancing.
- Proficient with Google Workspace and Slack; familiarity with Figma is advantageous.
- Fluency in AI tools usage to enhance work efficiency and champion adoption among colleagues.
