Role overview

Galapagos Federal Systems, LLC is hiring a part-time Course Registrar / Training Administrator to support a U.S. Space Force Delta 7 training program. The role is suited to someone who is highly organized, detail-focused, and comfortable handling sensitive training administration in a secure environment. You will help ensure training events run smoothly, records stay accurate, and communication among instructors, students, leadership, and government stakeholders remains clear and timely.

What you will do

  • Manage student registration activities for classified training courses.
  • Keep rosters, attendance logs, student files, and training records accurate and up to date.
  • Help build and maintain course schedules, training calendars, and enrollment tracking.
  • Prepare, send, and maintain welcome letters, course packets, completion certificates, feedback forms, and related materials.
  • Work with instructors, students, government personnel, and program leaders to support successful training delivery.
  • Monitor several courses, student groups, deadlines, and administrative deliverables at the same time.
  • Assist with setup, logistics, and administrative tasks before, during, and after training events.
  • Compile after-action notes, course metrics, and other required training documentation.
  • Support security-related administration such as visit requests, clearance checks, and classified facility access coordination.
  • Handle sensitive training information with professionalism, accuracy, and confidentiality.

Required experience and qualifications

The role calls for an active TS/SCI clearance, a high school diploma or equivalent, and at least 3 years of experience in administrative operations, registrar work, training coordination, event coordination, records management, or a similar support role. You should have hands-on experience managing rosters, student records, schedules, attendance data, and training documentation, as well as preparing course materials, certificates, and feedback forms. Prior exposure to Department of Defense, Air Force, Space Force, Intelligence Community, or other federal environments is expected. The position also requires the ability to juggle multiple priorities, work part-time on-site at Peterson Space Force Base in Colorado, and support secure or classified settings. Familiarity with clearance coordination, visitor control, training systems, learning management systems, or DAF e-Learning/Skillsoft Percipio is beneficial. Experience supporting military education, technical training, or professional development programs is also valued.

Education

A high school diploma is required. An associate degree or bachelor’s degree in education, business administration, human resources, records management, training administration, or a related field is preferred. Certifications in training coordination, administrative support, records management, or project coordination are also preferred.

Security and eligibility

Applicants must be U.S. citizens. A high-level active Department of Defense security clearance may be required, and selected candidates will go through a security investigation and must meet eligibility requirements for access to government information.

Physical requirements

The job may involve long periods of sitting or standing, frequent computer use, and tasks that require bending, reaching, and kneeling. The role may also require lifting up to 30 pounds as needed.
