Job description
Role Overview
We are looking for a skilled Event Manager to take charge of end-to-end planning and delivery of a wide range of corporate events. This includes small and large programs such as user conferences, sales kickoffs, roadshows, incentive trips, and similar business gatherings. The role requires strong command of event operations, client coordination, venue and vendor management, production support, hotel room blocks, and contract discussions.
Key Responsibilities
- Own the complete planning and execution of every event assigned to you.
- Coordinate work across all involved teams such as Registration, Platform, Sponsorship, IS, Air, and Finance.
- Track the event budget, manage invoicing and payment schedules, and prepare cost-savings reports.
- Maintain the overall program agenda and keep communication aligned between internal teams and external partners.
- Build, monitor, and update the project timeline and delivery plan for each program.
- Take part in client and internal meetings, including regular check-ins, pre-event walkthroughs, onsite coordination, and post-event reviews.
- Push both client-side and internal deliverables so that milestones are reached on time.
- Handle venue logistics such as meeting room assignments, room setups, diagrams, food and beverage, electrical needs, and internet access.
- Coordinate with destination management companies and third-party vendors for audio visual, production, entertainment, IT/internet, photography, printing, security, shipping, translation, and transportation.
- Oversee content collection, design development, and production of event collateral and signage, including agendas, conference guides, and event schedules.
- Prepare budgets, arrange travel itineraries, and lead site inspection visits.
Requirements
- A four-year college degree or equivalent relevant professional experience.
- At least 3 to 5 years of experience in event management, meeting planning, or hospitality.
- 1 to 2 years of hands-on client management experience.
- Ability to travel up to 50% of the time.
Additional Information
This is a full-time onsite position based in the San Francisco Bay Area.
The role involves managing events from concept through completion and working closely with both internal stakeholders and external clients.
