About the company

MSALABS is a worldwide geochemical laboratory services provider supporting the exploration and mining sectors. Its service range covers laboratory operations, on-site support, and sample preparation.

Role overview

The company is looking for a Commercial & Tender Coordinator in Dubai to oversee tender activities, prepare bid submissions, assist the commercial function administratively, and support market analysis for business across Africa.

Key responsibilities

  • Manage the full tender cycle, starting from identifying opportunities through to final submission.
  • Collect, organize, and verify all documents and information needed for bid responses.
  • Track tender conditions carefully and make sure every submission is completed before the deadline.
  • Work with internal teams and outside stakeholders to secure approvals, inputs, and supporting material.
  • Draft, structure, and format bid packages so they are complete, accurate, and professional.
  • Build persuasive proposals that align with client requirements and commercial objectives.
  • Proofread and refine submission documents for consistency, accuracy, and clear messaging.
  • Keep a ready-to-use library of templates and standard bidding documents.
  • Support the commercial team with administrative tasks such as meeting coordination, report preparation, and correspondence handling.
  • Maintain well-organized tender and bid records for easy reference and tracking.
  • Help prepare presentations and other sales/commercial materials.
  • Carry out general office and administrative duties as needed.
  • Research markets to spot new opportunities and identify industry movement.
  • Review market data and turn it into useful commercial insights.
  • Monitor competitor activity and share findings with the commercial team.
  • Prepare market analysis documents and presentation materials.

Requirements

  • Strong planning, prioritization, and time-management abilities.
  • Excellent written and spoken communication skills.
  • Confident use of Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Ability to work independently while also contributing effectively in a team environment.
  • Strong analytical thinking and problem-solving capability.
  • Understanding of African market conditions and relevant regulations.
  • Experience with project management tools and software is considered an advantage.
  • A bachelor’s degree in business administration, marketing, or a related discipline.
  • Prior exposure to tender coordination, bid preparation, and administrative support work.
  • Background in the mining or construction industry.
  • Must be physically capable of meeting the job’s inherent requirements.
  • Required vaccinations must be kept current.
  • Must be willing to travel and work on site-based schedules, including extended hours or days when required.
