The company is seeking a Commercial Administrator for its Dubai / Abu Dhabi operations in the United Arab Emirates.

Key responsibilities

Central coordination and executive support

• Serve as the main coordination link across regional offices and functions.
• Work with internal teams to monitor project progress, priorities, and updates.
• Keep track of actions, follow-ups, and important deliverables.
• Help maintain alignment and close communication gaps during execution.

CRM and project tracking ownership

• Take responsibility for CRM and project tracking platforms.
• Make sure projects are recorded correctly, updated regularly, and commercially accurate.
• Build and maintain project pipeline trackers, client dashboards, and status reports.
• Follow up proactively with teams to ensure accurate data entry and disciplined reporting.

Monthly reporting and data consolidation

• Lead the preparation of monthly commercial reporting.
• Bring together information from global offices into dashboards, executive summaries, and performance insights.
• Ensure reports are consistent, accurate, and submitted on time.

Presentation and executive communication

• Prepare polished management presentations, steering committee packs, and project summaries.
• Turn raw figures into clear, practical insights.
• Assist with communication directed at senior stakeholders.

Marketing and business support

• Support the creation of capability decks, case studies, and client-facing documents.
• Coordinate closely with Marketing and Business Development teams.
• Help keep messaging consistent across projects and regions.

Workflow structuring and efficiency

• Improve trackers, reporting frameworks, and internal processes.
• Strengthen communication, data handling, and task-tracking methods.
• Spot inefficiencies and contribute to process improvements.

Requirements

• 3 to 5 years of experience in freight forwarding, logistics, or a related sector such as heavy haul or marine.
• Solid understanding of transport modes including air, ocean, road, rail, barging, shipping, heavy haul, and rigging.
• Good knowledge of international and domestic geography, including important cities, airports, and seaports.
• Basic knowledge of commercial terms, project tracking, and reporting.
• Awareness of risk factors and the ability to support mitigation efforts.
• Hands-on experience with CRM platforms, tracking tools, and data dashboards.
• Ability to analyze information, combine data from multiple sources, and present it effectively.
• Proficiency in MS Office, especially Excel and PowerPoint.
• Strong written and verbal communication skills.
• Comfortable working across functions with global teams and senior stakeholders.
• Very high attention to detail and consistent follow-up discipline.
• Accountability for personal and team health and safety.
