Role overview
The Bid Management Specialist will oversee the full quotation and proposal process from the moment a customer RFQ is received until the business is awarded, working in an Electronics Manufacturing Services (EMS) setting in Mysore. This role is central to building commercially sound and technically feasible bids, while partnering closely with sales, engineering, supply chain, manufacturing, finance, and customers.
Core responsibilities
The position involves managing incoming RFQs and opportunities, understanding customer needs, leading proposal development, and coordinating all inputs needed for competitive submissions. It also includes tracking bid progress, maintaining records, and helping transition awarded work into execution teams.
- Review RFQs, RFPs, and business opportunities shared by the sales team.
- Study customer expectations around product specifications, manufacturing needs, quality standards, delivery timelines, and commercial conditions.
- Work with customers and internal teams to resolve technical and commercial queries.
- Run bid launch meetings and define proposal timelines.
- Partner with engineering, supply chain, manufacturing, quality, finance, and program management to prepare complete quotations and proposals.
- Coordinate BOM reviews, material costing, manufacturing costs, tooling expenses, NRE estimates, and logistics charges.
- Build pricing that matches customer requirements while supporting company margin goals.
- Identify and close pricing gaps and commercial concerns before submission.
- Assess feasibility based on manufacturing capacity, quality expectations, capability, and supply chain risks.
- Carry out competitor analysis, benchmarking, and pricing checks to support win strategies.
- Compare customer requirements against internal strengths and suggest the best-fit solution.
- Support management during pricing strategy discussions and commercial negotiations.
- Serve as the main coordination point across sales, engineering, sourcing, manufacturing, quality, finance, and business units.
- Ensure proposal inputs are collected on time and that all stakeholders meet key milestones.
- Track RFQ status, proposal progress, and deliverables throughout the bid cycle.
- Maintain documentation, costing files, assumptions, and customer communication records.
- Share regular updates, risk notes, and escalation reports with leadership.
- Support handover of won projects to program management and NPI teams.
- Create and improve quotation templates, costing tools, and bid management workflows.
- Look for ways to improve turnaround time, quotation accuracy, and win rates.
- Help implement better practices in bid management and commercial operations.
Qualifications and experience
A Bachelor’s degree in Engineering is preferred, ideally with a specialization in Mechanical or Electronics. The role calls for at least 5 years of relevant experience in bid management, proposal management, program management, or commercial operations within EMS, electronics manufacturing, industrial, or engineering environments.
Candidates should have practical experience in RFQ handling, quotation preparation, and customer proposal development, along with exposure to product lifecycle activities such as design, NPI, prototyping, manufacturing, and production ramp-up. Experience working with customers, suppliers, contract manufacturers, and internal teams is also required.
Technical knowledge and skills
Applicants should have a strong grasp of EMS business models, manufacturing cost structures, and supply chain processes. Knowledge of BOM costing, material sourcing, NRE estimation, and manufacturing economics is important. Familiarity with PCB Assembly (PCBA), Box Build, System Integration, and electronics manufacturing processes is highly desirable. Proficiency in Microsoft Excel, PowerPoint, and Word is expected, and experience with MS Project, ERP, PLM, or CRM tools will be an added advantage.
Key competencies
The ideal candidate should be commercially aware, detail-oriented, and comfortable managing multiple RFQs at once. Strong organization, analytical thinking, problem-solving, presentation, communication, and stakeholder management skills are needed. The role also demands cross-functional leadership, deadline ownership, risk awareness, and a results-driven approach focused on growth and profitability.
