About the Role
Galetech Group is a specialist renewable energy company working across Ireland, Africa and Europe. It develops projects in clean energy and is looking for a commercially sharp and detail-oriented Bid & Commercial Analyst to improve how the business identifies opportunities, prepares bids and turns commercial data into practical insight.
Based in Westlands, Nairobi, this position supports commercial activity across Ireland, Northern Ireland and Great Britain. The role goes beyond standard tender administration and brings together opportunity tracking, bid and proposal support, commercial reporting, system ownership and market intelligence. It is designed for someone who can help build a stronger commercial-support capability within an established renewable energy organisation. Pricing, contractual negotiation and client commercial discussions will remain the responsibility of the Commercial Director.
Key Responsibilities
- Identify and monitor opportunities on eTenders (ROI), eTendersNI, Find a Tender (GB) and relevant utility and private-sector portals, and alert the Commercial Director to live bids, framework renewals and prequalification timelines.
- Assist with preparing tender responses, proposals and quotations by gathering inputs from internal teams and ensuring submissions are complete, accurate and delivered within deadlines.
- Create and maintain a central library of bid materials such as boilerplate text, case studies, CVs, accreditations, method statements and policies to improve speed, consistency and quality.
- Oversee prequalification and accreditation records so that ISO certificates, health and safety records, insurance documents, financial statements and framework registrations stay current and bid-ready.
- Develop and maintain pipeline dashboards and management reports using HubSpot, including win rates, weighted pipeline value, bid volumes and conversion metrics by channel.
- Carry out structured win/loss reviews and use the findings to improve pricing and bid qualification decisions.
- Support tender cost build-up and project estimating by maintaining rate libraries, benchmarking information, pricing assumptions and model templates.
- Prepare recurring commercial reports and board-level reporting packs.
- Serve as the HubSpot super-user and custodian of data quality by maintaining deal stages, removing duplicates, setting up workflows and automations, and generating reports.
- Keep commercial records and document structures organised in SharePoint, and ensure customer, opportunity and project data remains accurate and up to date.
- Coordinate internal commercial risk reviews by arranging meetings, preparing supporting documentation, documenting scope, pricing, assumptions and risks, and tracking follow-up actions through to closure.
- Track competitor movements, new entrants, pricing trends and relevant policy or regulatory changes such as RESS, CfD and grid/CRU decisions.
- Support grant and funding applications by tracking calls, preparing documentation and managing submission logistics.
Working Relationships
You will work closely with the Commercial Director as well as colleagues in commercial, operations, planning, finance and project teams. You will act as the central point for commercial documents, pipeline data and bid coordination, helping keep records and reporting accurate and current.
Candidate Profile
- A degree in business, commerce, finance, economics, engineering, quantity surveying or a related field, or equivalent hands-on experience.
- Between 3 and 5 years of experience in bid or tender support, commercial analysis, sales operations, procurement or a similar role.
- Advanced Excel capability, including complex formulas and data modelling, along with strong skills in PowerPoint, Word and Outlook.
- Strong research and analytical ability, with the confidence to turn data into clear conclusions and recommendations.
- Excellent written and verbal English, with strong business writing for proposals and reports.
- Hands-on experience with CRM tools, preferably HubSpot, including reporting and data management.
- High accuracy and strong attention to detail when handling pricing, documents and customer information.
- Excellent organisational ability and the capacity to manage multiple priorities and deadlines independently.
- Advantageous experience with Power BI or a similar data-visualisation platform.
- Useful knowledge of SharePoint or a comparable document-management system.
- Exposure to renewable energy, construction or engineering, or to public-sector and utility tendering.
- Prior support for grant or funding applications is an added advantage.
Success Measures
Within the first three months, all active tenders and opportunities should be captured in one register, HubSpot data should be accurate and current, and a working commercial dashboard should be in place.
Longer term, success will mean faster and higher-quality submissions, a stronger and better-qualified pipeline, a maintained bid library and prequalification pack, and reliable commercial information that directly supports pricing and qualification decisions.
Working Arrangements
- This is a full-time, office-based position at Orbit Place, Westlands, Nairobi.
- Standard working hours are 09:00 to 17:00 EAT, Monday to Friday, providing strong overlap with Irish and UK morning and early afternoon business hours.
- All equipment and software needed for the role will be supplied.
- Because the work involves commercially sensitive information, the position includes confidentiality, intellectual-property and data-protection obligations.
