Job description
Role overview
A*STAR is looking for a motivated and adaptable Associate in Records Management to help build and maintain its document archive. The role focuses on making information easy to retrieve, strengthening the organisation’s knowledge base, and supporting records systems that meet legal, organisational, and IM4L requirements.
Key responsibilities
- Sort, organise, classify, and maintain records across physical and digital formats in line with A*STAR policies, SOPs, IM4L, and other applicable compliance standards.
- Keep track of the inventory of physical files that contain classified records, and support safe, timely retrieval and movement of those files with appropriate access controls.
- Support monitoring of compliance with records management policies, regulatory requirements, and retention timelines.
- Check records regularly to ensure information remains accurate and complete, and update files where needed.
- Assist with records-related operational work such as digitisation projects, system enhancements, billing and invoicing tasks, and outreach or engagement activities.
- Handle requests for information from internal stakeholders quickly and in a professional manner.
Requirements
- A minimum Diploma in Information Management, Library Science, Business Administration, or a related field is preferred; candidates from other disciplines and fresh graduates are welcome, as training will be provided.
- Preferably 1–2 years of experience in records management, information governance, or administrative support; fresh graduates with relevant internship exposure may also be considered.
- Strong attention to detail for accurate record classification and data entry across all record types, including digital, physical, media, and audio materials.
- Working knowledge of IM4L and other relevant statutory and regulatory obligations.
- Ability to structure and categorise records so they can be retrieved efficiently.
- Comfortable using electronic records systems and Microsoft Office applications.
- Professional communication skills for dealing with customers and stakeholders.
- Sound judgement in handling confidential information.
- Collaborative team player who supports shared goals.
- Quick to adapt to changes in processes and technology.
