Role Summary

The Media Associate acts as the operational center for daily media program execution. The position connects outside media agencies with internal brand teams, helping ensure campaigns launch on schedule, creative assets are delivered correctly, and budget tracking is maintained accurately in internal systems.

Key Responsibilities

  • Serve as the main contact for the media agency, collecting campaign needs and supporting smooth delivery.
  • Keep master campaign schedules updated for assigned brands and monitor milestones so launches and promotional periods stay on track.
  • Prepare and manage creative workbooks in coordination with brand, online, and retail teams to support an efficient asset handoff process.
  • Oversee the full trafficking workflow, from receiving final assets to checking that they meet platform specifications such as TikTok or Instagram and confirming they go live correctly on the agency side.
  • Enter and maintain media authorizations in internal financial tools and make sure agency spending stays within approved brand budgets.
  • Handle internal system updates to reconcile monthly agency invoices and resolve differences between forecasted spend and billed amounts across the brand portfolio.
  • Gather weekly performance reports from the agency and keep internal stakeholders supplied with the latest results.
  • Maintain orderly folders and databases containing media briefs, final creative files, and historical performance documents.

Qualifications

  • 1 to 2 years of professional experience, or strong internship experience, in a project-heavy environment such as a media agency, marketing team, or production company.
  • Ability to coordinate complex workflows between external vendors and internal teams, while clearly communicating creative requirements and budget updates.
  • Strong Excel skills for financial monitoring, plus willingness to learn ERP or procurement systems such as SAP, Ariba, or similar tools.
  • Excellent organizational habits with close attention to deadlines, details, and accurate budget entry.
  • Flexibility to adjust quickly when brand priorities change and keep the agency updated in real time to avoid wasted spend or incorrect placements.

Compensation and Benefits

The expected base pay for this role is between $66,300 and $93,250 per year. Final compensation will depend on factors such as experience, skills, education, and budget, and may differ by location. The role is also eligible for a competitive bonus program with potential for performance-based overachievement.
