Role overview

This position is for an Associate Event Producer based out of the New Jersey / NYC metro area. The role supports end-to-end production of major live experiences, including galas, conferences, fundraising events, festivals, and large celebrations across the New York metro region. You will work as part of the client relationship group, help shape creative direction, build budgets, coordinate vendors across functions, and manage the many details that make each event succeed.

It is suited to someone with at least two years of event production experience who can stay steady under pressure, think ahead, and serve as a dependable partner to clients and colleagues.

The organization has spent more than a decade producing large-scale events nationally and is led by Gail P. Stone, whose background includes senior leadership at the New Jersey Performing Arts Center and recognition as one of NJBIZ’s inaugural “Best 50 Women in Business.” The team is small, experienced, and collaborative, with a focus on strategy, precision, and partnership throughout the planning process and on event day.

What you will do

  • Help produce 10 to 15 large-scale events each year in a supporting producer role.
  • Work with clients to define the event concept, narrative flow, and guest experience approach.
  • Identify, negotiate with, and coordinate vendors such as venues, AV teams, caterers, performers, design partners, and production crews.
  • Assist with site visits, venue walk-throughs, rehearsals, load-in, show calls, and breakdown activities.
  • Maintain planning materials and schedules using Asana, Excel, Google Docs, and PowerPoint.
  • Represent the company in client meetings, pitches, and industry-facing settings with professionalism and confidence.

Experience and qualifications

  • At least 2 years of experience producing live events, including at least one large-scale production with a budget of $250,000 or more.
  • Background supporting high-profile galas, fundraisers, conferences, or corporate events from start to finish.
  • Strong command of budgets and schedules, with the ability to justify numbers and decisions confidently.
  • Clear written communication skills for decks, email correspondence, run-of-shows, and post-event recaps.
  • Good instincts for design and attendee experience, even if you are not directly responsible for design work.
  • Comfort working collaboratively with other producers while maintaining high standards and a positive tone.
  • Experience equivalent to formal industry and professional background in event production.
  • Proficiency with Asana, Dropbox, Google Workspace, and Microsoft Suite.
  • Willingness to travel and work outside standard hours during event periods.
  • A valid driver’s license and dependable transportation.
  • Authorization to work in the United States.

Compensation and benefits

The base salary for this role is $50,000 to $65,000, with additional performance-based bonus potential. Benefits include health insurance, paid time off, and travel coverage.

Hiring process

  • Initial screening: a 20-minute virtual conversation with the HR partner.
  • Interview with Gail: a 30-minute discussion with the founder, including a review of events you have supported and the challenges and outcomes involved.
  • Reference review: the team will speak with clients and collaborators you have worked with closely.
  • Working session: a paid half-day scenario exercise to solve a real production challenge together.
