Role Overview

We are looking for a motivated and detail-focused Assistant Project Coordinator to join our Mississauga office team on a full-time basis. This position supports the project management and estimating departments by assisting in project preparation, estimation support, progress monitoring, trade coordination, and client communications. The role is essential for ensuring a seamless workflow from project inception through to execution.

Key Duties

  • Assist in assembling project estimates and conducting measurements (take-offs).
  • Support activities related to tendering and bid submissions.
  • Organize and prepare essential project documentation professionally.
  • Monitor project progress and deliver regular status updates.
  • Coordinate effectively with tradespeople, suppliers, and subcontractors.
  • Maintain communication with clients about project developments and documentation.
  • Review and manage new claims, change orders, and other project-related paperwork.
  • Help with scheduling and coordinate internal workflows.
  • Keep both digital and physical project records well organized.

Qualifications

  • Prior experience in construction coordination or providing project support is preferred.
  • Familiarity with estimating procedures and construction documentation is important.
  • Strong skills in organization and time management are necessary.
  • Excellent verbal and written communication abilities.
  • Capability to manage multiple projects concurrently.
  • Understanding of construction practices and industry norms.
  • Experience using Xactimate software is a notable advantage.
  • Proficiency with Microsoft Office suite including Excel, Word, and Outlook.
  • A diploma or degree in Construction Management, Business Administration, or a related discipline is preferred.
