Role overview

This position is focused on receiving high-value shipments, checking paperwork against physical goods, inspecting items, and accurately updating records in the GEM system. The role also supports internal movement of jewelry and components, inventory control, and compliance with company procedures.

Key responsibilities

  • Accept valuable packages and confirm that shipment documents align with the physical contents.
  • Open job bags, verify that no flutes are empty, weigh each item, and note the details on the vendor invoice.
  • Check that GIA certificates have been entered into GEM, validate stock number stamps against both paperwork and GEM, and confirm Bill of Materials details such as quantity and metal fineness.
  • Tag each piece, print labels, and attach them to the appropriate tags.
  • Ensure incoming merchandise and items transferred to QA or GA are recorded accurately.
  • Log all merchandise received into the system and reconcile it with shipment records.
  • Prepare and package jewelry and components for internal transfer using the required protective packing methods and colour-coded job bags.
  • Move job bags to GA WIP or QA WIP as required.
  • Confirm that circulating stock tags match the corresponding product.
  • Match circulating stock to the stock number and item description in GEM.
  • Manage the release of goods so scheduled processing timelines are met.
  • Spot unusual process-flow issues and highlight opportunities to improve team efficiency.
  • Track merchandise movement and maintain accurate movement records.
  • Monitor packing materials and request replenishment when needed.
  • Take part in monthly physical inventory checks for the receiving area and investigate any variances.
  • Support company compliance standards related to property movement, storage, and handling of merchandise.
  • Carry out additional administrative tasks as needed.

Qualifications

  • At least 2 years of relevant experience; background in luxury retail is preferred.
  • Bachelor’s degree required.
  • Strong organisational ability to manage inventory, records, and supporting documents.
  • Comfort working in a team and building effective relationships across departments.
  • Good computer literacy, including Microsoft Outlook and Excel.
  • Graduate Gemologist credentials, gemstone knowledge, jewelry knowledge, and vault experience are advantageous.

This role is based in the New York City Metropolitan Area and is a full-time onsite position.
