Role Overview
This position is for an administrative professional who will support the daily operations of the Advocate Recruiting team. The role sits at the center of recruiting administration, helping keep candidate support, onboarding, documentation, and workflow coordination running smoothly.
You will work alongside recruiters, cross-functional partners, and leadership to ensure placements, credentials, and administrative processes are handled efficiently and accurately. The ideal candidate is highly organized, detail-focused, proactive, and comfortable bringing structure to complex, fast-moving work.
Key Responsibilities
- Keep the applicant tracking system (Ashby) updated and manage onboarding paperwork from start to finish so records remain accurate, current, and ready for review.
- Act as a central administrative contact for the Advocate Recruitment team by sorting requests and resolving issues promptly.
- Coordinate internal on-site interview scheduling and support offer-related administration for internal team development.
- Monitor candidate pipeline activity and identify delays or missing steps so recruitment workflows stay on track.
- Create operational reports and contribute to department projects, making sure deadlines and expected deliverables are met.
- Develop and maintain internal standard operating procedures and administrative processes that can grow with the team.
- Handle internal and external communication with professionalism, speed, and care.
Requirements
- At least 2 years of experience in administration within healthcare, staffing, recruiting operations, or another fast-paced setting.
- Strong organizational ability and a very high level of attention to detail.
- Excellent written and spoken communication skills with a polished and professional approach.
- Comfort using Google Workspace and the ability to learn new tools quickly.
- Capability to manage several priorities at once while staying accurate under pressure.
- Good judgment and discretion when dealing with sensitive or confidential information.
- A proactive mindset with the ability to solve problems and improve processes independently.
- Applicants must be located in the United States.
Bonus Experience
- Background in recruiting coordination or HR support.
- Experience using Ashby or another applicant tracking system.
Compensation
The stated salary range is $60,000 to $80,000 per year.
