The company helps clients save time by managing everyday tasks, service requests, appointments, vendors, staff, travel arrangements, documentation, and follow-ups with professionalism and discretion.

Role Summary

The business is hiring a dependable Administrative Assistant to support office operations and ensure routine work stays organized, current, and on track. This is a full-time, on-site position in Dubai.

The ideal candidate will be comfortable handling administration, coordination, follow-ups, document preparation, client communication, and general operational support. The company is seeking someone steady and committed who wants to build a long-term career rather than move between short-term roles.

Key Responsibilities

  • Provide daily administrative and clerical support for the office.
  • Respond to and manage emails, calls, WhatsApp communication, appointments, and follow-ups in a professional manner.
  • Keep records, files, documents, reports, and tracking sheets accurate and up to date.
  • Assist management with scheduling, meeting coordination, document drafting, and task tracking.
  • Liaise with clients, vendors, service providers, staff, and internal team members.
  • Monitor pending items and continue follow-up until tasks are completed, not merely passed on.
  • Support recruitment coordination, onboarding paperwork, employee records, and administrative processes.
  • Help coordinate service-related activities such as bookings, vendor arrangements, travel support, client assistance, and operational follow-ups.
  • Maintain order in office tasks so work progresses efficiently and without delays.
  • Assist with office supplies, logistics, visitor handling, and front-desk support when needed.

Candidate Profile

Applicants should have at least 4 to 5 years of work experience in Dubai and be based there already. Suitable prior roles include Administrative Assistant, Office Administrator, Executive Assistant, Operations Coordinator, Client Coordinator, or Admin Coordinator.

Strong computer literacy is expected, especially in MS Office, Google Workspace, email, Excel or Google Sheets, Word, and basic report preparation. The role also requires strong verbal and written communication, professional phone and email etiquette, a confident manner, and the ability to follow up firmly with different stakeholders.

The right person will be extremely organized, careful with details, comfortable handling several tasks at once, and able to work well under pressure in a busy office. A customer-service mindset, discretion, professionalism, and a practical, solution-focused approach are important.

Candidates must be punctual, dependable, and genuinely interested in stable long-term employment. Experience in hospitality, concierge services, facilities, travel, client servicing, service coordination, or another fast-paced office setting will be considered an advantage. A diploma or degree in Business Administration, Office Management, or a related area is preferred, though not essential for a strong fit.
