About the Company
The organization is a major Singapore-based provider of end-to-end underground utilities infrastructure solutions. Its work spans construction and maintenance of underground utilities, sewer pipeline rehabilitation, road and airfield construction and maintenance, plus asphalt pre-mix manufacturing and construction waste recycling.
Role Overview
This position is for a meticulous Administrative Assistant to handle Integrated Management System (IMS) documentation support. The role is important for keeping document control accurate, current, and compliant with ISO 9001, ISO 14001, and ISO 45001 requirements, contributing to better quality, safety, and operational performance across the business.
Key Duties
- Run and update a centralized control system for IMS-related documents.
- Make sure all documents are checked, approved, issued, and refreshed according to document control rules.
- Track document versions, revisions, and circulation so that only the current version is being used.
- Create standardized templates for company documents such as procedures, forms, records, and reports.
- Keep master lists for both internal controlled documents and outside-source documents.
- Organize filing, retention, and retrieval of records in line with retention standards.
- Help departments keep their documentation aligned with IMS and ISO expectations.
- Maintain compliance with ISO 9001, ISO 14001, and ISO 45001 document control requirements.
- Support internal and external audits by ensuring documents are accurate and available on time.
- Assist in closing audit issues linked to document control and records handling.
- Work with project teams, safety teams, and support functions to ensure documents are updated promptly and approved correctly.
- Monitor that legal, mandatory, and safety-related documents are properly authorized.
- Spot weaknesses in document control processes and suggest improvements.
- Support efforts to improve document management systems and digitalization.
Requirements
- A diploma or degree in Business Administration, Quality Management, Quality Assurance, Information Management, Records Management, or a related field.
- Working knowledge or practical exposure to ISO 9001, ISO 14001, and ISO 45001 integrated management systems.
- Experience in document control, records management, or a compliance-focused administrative setting.
- Strong attention to detail, good organizational ability, and the ability to work well with a range of internal and external stakeholders.
Work Details
This is a full-time onsite role based in Singapore, specifically at No. 3 Sungei Kadut Drive, Singapore 729556 in North Singapore. The position follows a 5-day work week and is classified as a non-executive role.
