Role Overview
The Dubai office is seeking a highly driven Administrative Assistant to support senior team members and help keep day-to-day operations running smoothly. The role calls for strong organization, communication, and judgement, along with the ability to handle multiple priorities in a fast-moving environment.
Key Responsibilities
- Assist with the coordination and organization of business roadshows.
- Serve as a point of contact and buffer for the Dubai coverage team while maintaining professional relationships with clients, investors, prospective clients, and internal staff.
- Manage calendars, arrange meetings, coordinate with other assistants, and confirm appointments with both external and internal stakeholders.
- Handle several phone lines and speak with clients as needed.
- Draft, send, and respond to emails on behalf of professionals, and prepare additional correspondence when required.
- Take the initiative to understand the business so support can be provided more effectively to professionals and clients.
- Book travel and related arrangements such as flights, cars, and hotels, using sound judgement around timing and cost, and support client travel arrangements when needed.
- Manage confidential paperwork and communications, including some personal administrative work.
- Enter data into relevant systems accurately, with close attention to detail and data integrity.
- Provide coverage for other administrative assistants during holidays or other absences.
Requirements
- A minimum of 3 years of experience in financial services, law firms, or private equity funds.
- Prior exposure to supporting teams and organizing roadshows.
- Strong planning, organization, and time-management abilities, with the capacity to juggle priorities, stay effective under pressure, and adapt when needed.
- Excellent spoken and written communication skills, along with a sharp eye for detail.
- A polished professional manner, positive attitude, and strong people skills.
- High integrity, good judgement, and a dependable work ethic.
- Motivation to thrive in an entrepreneurial, results-oriented workplace.
- Good command of Microsoft Office Suite; experience with Salesforce is an advantage.
- Fluency in English is mandatory; Arabic proficiency is preferred.
