About the Role

The Administrative Assistant will provide broad administrative and operational support for programs and projects. The position centers on organizing meetings, handling documentation, maintaining data, processing invoices, supporting events, and keeping day-to-day office processes running smoothly while protecting accuracy, confidentiality, and compliance.

Key Responsibilities

  • Arrange and manage meetings as well as events.
  • Draft agendas, capture meeting notes, and track action items.
  • Carry out basic research and prepare reports, presentations, and correspondence.
  • Oversee office supplies and other administrative resources.
  • Update databases, records, and spreadsheets.
  • Process invoices, billing items, and travel or hotel arrangements.
  • Assist with event setup, visitor reception, and badge distribution.
  • Prepare and circulate documents and reports.
  • Monitor administrative workflows and suggest ways to improve them.
  • Handle confidential and sensitive information carefully and appropriately.

Qualifications

  • High school diploma or an equivalent credential is required.
  • Prior experience supporting administrative tasks is preferred.
  • Strong ability to organize work and manage multiple priorities.
  • Clear written and verbal communication skills.
  • Good attention to detail and accuracy.
  • Comfort working independently in a remote setting.

Requirements

  • Working knowledge of Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook.
  • Experience using SharePoint.
  • Ability to work with Power BI dashboards and reporting tools.
  • Experience managing schedules, documents, and records.
  • Basic financial administration experience involving invoices, billing, and expenses.
  • Ability to lift up to 10 lbs for meeting and event setup.
  • Willingness to travel occasionally if needed.
  • Strong record-keeping and data management skills.
