Role overview
The Meetinghouse Facilities Department is looking for a highly organized, service-minded Administrative Assistant to support the Architecture, Engineering, Construction and Innovation (AECI) team in Auckland. This position plays an important support role within the project management group, helping the team and its customers with day-to-day administrative and coordination tasks.
This is a 6-month fixed-term role based onsite in Auckland, working 30 hours per week, and reporting to the Project Manager.
Key responsibilities
- Raise purchase orders, process and follow up on invoices, and prepare financial reporting.
- Coordinate with vendors and contractors on materials and services under the Project Manager's direction.
- Monitor spending, budgets, and account reconciliations to help ensure costs stay within approved limits.
- Review operational plans and written correspondence.
- Handle other office and administration tasks assigned by the Project Manager.
Qualifications and experience
- Two years of post-secondary study along with basic business accounting knowledge.
- Three years of office administration experience with strong organizational ability; experience in a technical team is an advantage.
- Background in tracking budgets, recording expenses, and preparing reports with close attention to detail.
- Proven ability to deliver excellent customer service.
- Strong spoken and written communication skills.
- Experience training others on administrative processes and systems.
- Comfort using Microsoft Office tools such as Excel, Word, PowerPoint, and Outlook, plus the ability to pick up new software quickly.
- Flexible, calm under pressure, and collaborative in a team setting.
