Role Overview
This position offers critical organizational and administrative assistance to senior bankers, facilitating smooth daily operations within the London office. The role demands presence in the office at least four days a week, with an expected start around August or September 2026.
Key Responsibilities
- Manage intricate calendars spanning various time zones, coordinating internal meetings, client calls, and travel plans.
- Organize both domestic and international travel logistics, encompassing flight bookings, accommodations, itineraries, and expense submissions.
- Prepare and arrange meeting logistics, such as securing conference rooms, coordinating catering, assembling materials, and setting up video conferencing tools.
- Assist in producing, formatting, and disseminating presentations and business documents.
- Oversee routine administrative duties including correspondence, record maintenance, and expense processing.
- Serve as a professional point of contact for both internal teams and external partners, maintaining confidentiality and decorum.
- Welcome clients and guests, fostering a professional and hospitable office atmosphere.
- Handle daily office tasks like managing deliveries, supplies, room readiness, and general administration.
- Contribute to the overall upkeep and smooth functioning of the office environment.
- Support broader office coordination, facilities management, and operational efforts within the London team.
- Participate in ad hoc projects, including client engagement support, recruitment assistance, event coordination, and team initiatives.
Qualifications and Skills
- Bachelor's degree or similar experience is preferred.
- Between 1 to 3 years in executive assistance, administration, office coordination, or comparable support roles.
- Background in investment banking, financial services, professional services, consulting, or private equity is highly advantageous.
- Exceptional organizational and time management aptitude with strong prioritization capabilities.
- Excellent verbal and written communication proficiency.
- Strong professionalism, discretion, and meticulous attention to detail.
- Ability to juggle multiple tasks and deadlines in a fast-paced setting.
- Competent with Microsoft Office suite including Outlook, Excel, PowerPoint, and Word.
- Comfortable collaborating in a predominantly office-based, team-driven environment.
