Job description

Role overview

This is a part-time remote Administrative Assistant position supporting a founder-led wellness coaching business in the health and wellness space. The role is designed for a UK-based client and centers on operational administration, CRM automation, and AI-supported content and course implementation, helping the founder stay focused on creation, delivery, and business growth.

Key responsibilities

  • Turn supplied materials into content that is ready to publish, including blogs, newsletters, course modules, and workbooks, using AI tools and light editing while preserving the brand’s tone.
  • Reuse content and plan posts across Instagram, LinkedIn, and TikTok through GoHighLevel’s social planner or a similar platform, and support basic community responses when needed.
  • Build, manage, and improve workflows in GoHighLevel, including pipelines, automations, email and SMS campaigns, landing pages, funnels, forms, tags, and course areas.
  • Lead weekly planning and task coordination by running a Monday morning UK-time check-in, preparing task lists, tracking progress, sharing updates promptly, and hosting a midweek sync.
  • Handle day-to-day administrative tasks such as inbox and calendar management, client scheduling, event coordination, Google Drive filing, meeting notes, and SOP creation.
  • Keep records, trackers, and simple performance reports accurate, while proactively identifying risks, dependencies, and any missing information.
  • Work closely with the founder to prioritize tasks, gather needed inputs, and keep projects moving toward deadlines.

Required qualifications

  • At least 2 years of experience in a virtual assistant or operations/admin role within a digital-first setting such as coaching, wellness, education, or a similar environment.
  • At least 1 year of hands-on experience with GoHighLevel or a comparable CRM and marketing automation platform, including automations and funnels.
  • Strong ability to use AI content tools such as ChatGPT to draft, improve, and repurpose writing for blogs, newsletters, and course content.
  • Excellent written and spoken English, with a confident, proactive, and assertive working style, plus strong follow-through and receptiveness to feedback.
  • Highly organized with strong time management and attention to detail, and able to balance multiple priorities while meeting deadlines.
  • Comfortable scheduling social media content and repurposing assets, with basic proofreading and copyediting capability.
  • Able to work remotely with consistency and professionalism, and available for Monday morning UK-time check-ins and midweek collaboration.

Preferred qualifications

  • Experience in the health, wellness, or coaching industry.
  • Previous experience creating and launching online courses inside GoHighLevel.
  • Basic Canva design ability, plus familiarity with email marketing and SEO fundamentals.

Tools and systems

  • GoHighLevel for CRM, automations, funnels, email, and courses.
  • Google Workspace tools including Gmail, Calendar, Docs, Sheets, and Drive.
  • Canva for simple design work.
  • AI tools such as ChatGPT for content creation and repurposing.
  • Social scheduling platforms such as GoHighLevel Social Planner, Later, Buffer, or similar.
  • Task and project management tools such as Asana, Trello, Notion, or similar.

Schedule and pay

This is a part-time position requiring 10 hours per week, ideally split into 5 hours on Mondays and 5 hours on Wednesdays in the UK timezone. The role is fully remote for a UK-based client. Compensation is between R3,200 and R4,500 per month. The position also includes onboarding support, access to training resources including AI best practices, and room to grow as the business expands.

System requirements

  • Stable internet with at least 20 Mbps upload and download speed.
  • A computer with a 2.4 GHz processor or faster.
  • 8 GB RAM or more.
  • Windows 10 or later, or Mac OS X 10.10 or later.
  • HD 720p webcam.
  • Headset with microphone.
