Role overview
A leading artificial intelligence company is hiring an experienced Recruiting Coordinator to support a fast-moving Talent Acquisition team. The role is candidate-facing, highly visible, and centered on interview operations, coordination, and delivering an excellent experience throughout the hiring journey.
The position is remote-first, but candidates must be based in one of the following locations: PNW, Seattle, Portland, Boise, San Francisco, or Sacramento. After interviews, the coordinator will be placed with either technical or non-technical recruiting teams depending on business requirements.
This is a 6-month W-2 contract paying $70 per hour, with medical, dental, vision, and other benefits provided.
Key responsibilities
The coordinator will manage a large volume of interview scheduling across multiple time zones, support recruiters and hiring leaders, and help keep recruiting operations running smoothly in a high-growth environment.
- Arrange a high volume of interviews, handling roughly 400+ interviews each month across multiple time zones.
- Act as the main contact for candidates during the interview process and ensure a smooth, responsive experience.
- Work closely with recruiters, hiring managers, and business leaders on interview logistics, calibration sessions, and hiring activities.
- Maintain complex calendars while balancing shifting priorities in a fast-changing setting.
- Support a recruiter load of about 3:1 while serving as the operational point person for the process.
- Coordinate with internal partners to quickly resolve scheduling conflicts and other interview-related issues.
- Keep ATS and recruiting records accurate and up to date.
- Look for ways to improve workflows, scheduling efficiency, and broader recruiting operations.
- Assist with recruiting operations projects and other special initiatives as business needs change.
What we're looking for
The ideal candidate has several years of recruiting coordination experience in high-growth environments and brings strong organizational skill, executive presence, and adaptability.
- At least 3 years of experience as a Recruiting Coordinator supporting fast-paced recruiting teams.
- Background in startup or hyper-growth environments.
- Comfort working through frequent changes and shifting priorities.
- Strong communication and executive presence, with the ability to partner directly with hiring managers and senior stakeholders.
- Experience supporting high-volume recruiting with strong attention to detail and organization.
- Experience mentoring or guiding other Recruiting Coordinators is an advantage.
- A strong interest in improving recruiting operations and process quality.
- Curiosity about AI tools and how they can be used in day-to-day work.
- Professional, adaptable, and credible when working with senior leaders.
Preferred background
- Exposure to Recruiting Operations or Program Management in addition to scheduling is strongly preferred.
- Experience handling large-scale interview scheduling.
- Background in recruiting operations and process improvement.
- Experience with applicant tracking systems; Greenhouse is preferred but not required.
- Ability to manage cross-functional stakeholders effectively.
- Experience supporting candidates throughout the recruiting process.
- Experience coordinating multi-step interview loops across several time zones.
Compensation and benefits
The role pays $70 per hour on a 6-month W-2 contract basis. Benefits include medical, dental, vision, and additional coverage options.
