Job Overview
The role focuses on supporting procurement and contract-related activities within workshop operations, with a strong emphasis on compliance, quality, and effective sourcing. The ideal candidate will work closely with internal stakeholders, suppliers, and legal/contract teams to ensure purchasing and tendering processes are handled properly and on time.
Key Responsibilities
- Use prior experience in procurement and the GRP system to support day-to-day purchasing work.
- Contribute to contract service delivery for the workshop by following contract management and tendering procedures and ensuring all procurement and contract activities meet required performance standards, quality expectations, and government procurement rules.
- Receive purchase requests from the user department, assess the requirement, discuss scope and the proposed list of bidders, and request any extra clarification needed to complete the preparation process.
- Collect bidder questions and circulate the responses as needed.
- Present the technical aspects of requirements to the relevant unit and the procurement department for approval.
- Carry out technical evaluation of small contracts and negotiate costs with the relevant companies to identify the best offer.
- Process requests received from the department head or colleagues related to purchasing products or services to ensure approved requests are completed on time.
- Communicate directly with suppliers and attend meetings with suppliers, the line manager, and/or procurement officers to secure the best contract terms and pricing.
- Send quotation requests to multiple workshop-approved suppliers to support a fair selection process.
- Prepare routine tender documents, including all supporting purchase-order paperwork and appropriate legal and commercial wording, so the workshop receives the correct service or product.
- Assist in developing and maintaining purchase orders and contract records so future contracts can be prepared efficiently and within required timelines.
- Follow procurement and contract policies and procedures to ensure all tendering and contracting activities are conducted professionally and ethically.
- Research the market to identify qualified suppliers, contractors, and service providers for inclusion in the workshop’s supplier database.
- Coordinate with the user department to provide clear answers regarding material, product, or service specifications.
- Work with the contract/legal representative to finalize the scope of work and prepare the final contract documents to be put out for competition.
- Anticipate possible issues in tenders or contracts in order to reduce or avoid contract amendments.
- Coordinate with the Senior Procurement Officer on issuing purchase requests and work orders.
Qualifications
- Bachelor’s degree in Business Administration, Law, or an equivalent discipline.
- 0 to 3 years of experience in procurement and contracts.
- Good knowledge and understanding of procurement department procedures, instructions, and guidelines.
Additional Information
This is a full-time, onsite position based in Dubai, United Arab Emirates. The position is for UAE nationals only. The role is categorized under Procurement. The advertised monthly salary range is 10,001 to 20,000.
