Role overview
An established Irish-owned business in Dublin is looking to hire an IT Operations Manager to take ownership of day-to-day technology operations, security, governance, and digital enablement. This role calls for a candidate with solid vendor oversight experience, a strong grasp of GDPR, and practical exposure to AI tools and governance.
Core responsibilities
- Oversee the company’s IT environment through a third-party provider, covering servers, network hardware, endpoints, telephony, and cloud services.
- Keep hardware and software asset records up to date, while managing budgets, purchasing, licence administration, and supplier relationships on an annual basis.
- Create, implement, and uphold IT policies and standards covering topics such as acceptable use, retention of data, and disaster recovery.
- Run Microsoft 365, SharePoint, and related productivity systems, making sure access, storage, and collaboration arrangements remain well controlled.
- Handle user joiner, mover, and leaver processes across business applications, with appropriate permissions and access governance.
- Continue to enhance SharePoint as both a document repository and an internal communications tool.
- Shape and deliver the organisation’s cybersecurity approach, including endpoint security, identity and access controls, multi-factor authentication, and threat detection.
- Maintain compliance with GDPR and any other relevant Irish and EU data protection requirements.
- Arrange or carry out regular security reviews and risk assessments, then close out any issues identified.
- Deliver induction training for new employees on key business systems, Microsoft 365, and SharePoint.
- Partner with the Operations Director and senior leadership to plan and execute the wider IT and digital roadmap.
- Keep a technology roadmap aligned to business expansion, project demand, and operational needs.
- Build and maintain the company’s AI governance structure, including policy setting, acceptable-use guidance, data-handling rules, and an active inventory of AI tools.
- Contribute to the AI Steering Group with technical input on evaluating tools, understanding risk, determining readiness for deployment, and supporting responsible AI usage.
- Spot, rank, and roll out automation opportunities across business areas using tools such as Microsoft Power Automate, Zapier, Make, or similar platforms.
- Create and support integrations between core systems, including SharePoint, Microsoft 365, and finance platforms, to cut manual work and improve data accuracy.
- Set up and manage AI assistant deployments such as Microsoft Copilot, Claude, or equivalent solutions, including access permissions, prompt configuration, and monitoring usage.
Requirements
- A third-level qualification in Information Technology, Computer Science, or another closely related subject, or equivalent practical professional experience.
- At least 5 years of experience in IT management, IT systems, or digital operations.
- Hands-on professional experience using AI tools in a real business environment, with measurable outcomes rather than only theoretical knowledge.
- Proven ability to design or implement workflow automations that have improved efficiency.
- Strong practical knowledge of the Microsoft 365 environment, including SharePoint, Teams, and related applications.
