Role summary

The Executive Assistant will provide administrative and operational support to the Integra Life Sciences (PrecisionQ) sales team and senior leadership, working closely with both internal and external stakeholders. This is a fully in-office role based in West Palm Beach, Florida. The position centers on executive calendar ownership, travel planning, Salesforce support, process improvement, document management, and content assistance for sales-related materials.

What you'll do

  • Manage a complex executive calendar across multiple time zones, including frequent last-minute updates.
  • Arrange external meetings in conference settings, client or corporate offices, and virtual formats, along with any required internal prep sessions.
  • Prepare for meetings and follow through afterward with agendas, dial-in details, supporting materials, and action-item tracking.
  • Coordinate domestic and internal travel, including airfare, lodging, local transport, and dining reservations.
  • Prepare and reconcile expense reports with attention to accuracy, policy compliance, and timely submission.
  • Protect executive time by evaluating priorities and filtering requests appropriately.
  • Resolve schedule clashes, travel issues, and urgent requests quickly and calmly.
  • Provide general administrative and operational help in a fast-moving environment.
  • Build and maintain familiarity with common cancer types to better understand customer needs.

  • Assist leadership with Salesforce and SharePoint document management and reporting.
  • Help create and manage content for social media channels.

Required qualifications

  • A bachelor’s degree in Business, Marketing, Communications, or a related subject is preferred, though equivalent professional experience may be accepted instead of a degree.
  • At least 5 years of experience supporting a senior executive, ideally in sales, consulting, finance, or a high-growth technology environment.
  • Working knowledge of MS Office tools, including Outlook, Word, Excel, and PowerPoint.
  • Experience using CRM, calendar, travel, expense, and AI-enabled tools such as Salesforce, Concur, Workday, and Calendly.
  • Strong analytical ability, organization, and time management.
  • Ability to deliver tasks while maintaining a positive experience for internal and external stakeholders.
  • Excellent verbal and written communication skills.
  • Ability to work independently and contribute effectively in team settings.
