Role overview
We are seeking a Philippines-based Admin & Operations Assistant to support an Australian outdoor services and civil works business. The engagement is remote and will be handled directly with the client under an independent contractor arrangement.
The business operates across residential, commercial, and industrial projects, delivering landscaping, grounds maintenance, and site development services. The role is intended to strengthen daily administration, improve scheduling and customer coordination, and support the company’s online presence and marketing activities.
Compensation and engagement
The monthly pay range for this engagement is AUD 1,500 to AUD 2,000. This is not an employment role; it is structured as an independent contractor agreement.
Work schedule
The expected collaboration window follows Australian business hours, approximately 9:00 AM to 5:00 PM, Monday through Friday. While alignment with these hours is important for teamwork, contractors will have flexibility in managing their own time.
Administration and coordination
- Handle enquiries coming in through phone, email, and the website.
- Arrange bookings, schedule appointments, and manage calendars.
- Support job allocation and keep scheduling information up to date.
- Keep digital records, files, and documents accurate and well organised.
- Assist with quoting, customer follow-ups, invoicing, and data entry.
- Communicate with clients, suppliers, and internal staff as needed.
- Maintain orderly systems across OneDrive, Google Drive, Tradify, Xero, and related business tools.
Website and digital marketing support
- Refresh and manage website content.
- Upload project images, completed work, and service details.
- Assist with social media activity and online engagement.
- Help with branding, promotional efforts, and digital marketing tasks.
- Support the preparation of advertising and marketing materials when required.
- Keep messaging and presentation consistent across online channels.
Customer service and booking management
- Serve as the first point of contact for incoming enquiries.
- Manage booking requests and confirm scheduling details.
- Route enquiries to the correct operational or sales team member.
- Follow up on open enquiries and maintain customer communication.
- Help keep the workflow between administration and operations running smoothly.
Additional engagement conditions
This is a fully remote position. The successful candidate will be expected to disclose any other ongoing roles or client work and to list this engagement on LinkedIn as an independent contractor role.
