Purpose of the Role
This position supports the Private Wealth team by delivering high-quality administrative assistance to Wealth Advisors and Wealth Planning Associates. The work helps the team stay focused on client service and business growth by handling coordination, follow-up, and day-to-day support tasks. The role offers exposure to wealth planning work and may lead to a future path as a Wealth Planning Associate for someone looking to expand their career.
This position is based in Vancouver and follows a hybrid work arrangement.
Core Responsibilities
Practice Management
- Support Wealth Advisors in running their practice efficiently.
- Gather, organize, and prepare reports and supporting information.
- Assist with cash management-related processes.
- Help keep tasks, reminders, and priorities organized for the advisors.
- Provide support with technology updates when needed.
Client Service
- Provide administrative assistance to Wealth Advisors and Wealth Planning Associates.
- Coordinate client meetings, including scheduling, preparation, coordination, and follow-through after meetings.
- Handle invitations and logistics for client events.
- Maintain client records in Salesforce.
- Process new business requests connected to client onboarding.
- Respond to and manage routine client requests where appropriate.
- Communicate with clients verbally and in writing when needed.
Business Development
- Arrange introductory meetings with prospective clients.
- Create lead records for prospects in Salesforce.
- Monitor the prospect pipeline and ensure follow-up action is completed.
- Coordinate with the Marketing team on incoming leads as required.
Corporate Projects
- Coordinate with internal stakeholders on behalf of Wealth Advisors for corporate initiatives and projects.
- Support task tracking, reminders, meeting action items, and deliverable follow-up.
Additional duties may be assigned as business needs evolve.
Requirements
- A business degree, diploma, certificate, or equivalent practical experience.
- At least 1 year of relevant administrative experience.
- Background in a fast-paced, client-focused environment.
- Professional judgment, tact, and diplomacy in a busy setting.
- Strong capability with MS Word, Excel, PowerPoint, Outlook, and general workplace technology.
- Excellent accuracy and attention to detail.
- Strong organization skills with the ability to manage many tasks, deadlines, and competing priorities.
- Legal eligibility to work in Canada for any employer.
Compensation and Benefits
The salary range for this role is $51,000 to $71,000 annually, with a competitive performance bonus. The package also includes RRSP contributions and participation in a profit-sharing program. Pay will depend on experience, skills, and qualifications.
