Role overview
Flint Bishop is seeking a capable Administration Assistant to join its Finance Dispute Resolution team in Leeds. The role exists to back up fee earners with billing administration and reporting work as the firm continues to grow.
This position reports directly to the Head of Finance Dispute Resolution and is based in the Leeds office. Working hours are Monday to Friday, 9:00am to 5:30pm, totalling 37.5 hours per week.
Key duties
- Track work in progress and monitor client billing timelines so invoices are issued on time and no deadlines are overlooked.
- Prepare invoices for individual team members and coordinate with the finance team on billing-related queries.
- Send FDR invoices to clients and follow up on payment, including working with the finance team to spot aged debt and manage bill-chasing communication.
- Handle payment of invoices such as counsel fees and agent reports, along with the related liaison with finance.
- Respond to invoice questions from clients or third parties, and manage invoice reversals, credit notes, refunds, or offsets against client account balances.
- Complete Tier 2 and Tier 3 cost approval forms in collaboration with team members and clients where required.
- Open and close files as part of routine file administration.
- Manage monthly client reporting by preparing the financial details, sharing them with team members for file updates, and then issuing the final report to the client.
- Coordinate with finance on expected incoming and outgoing payments.
- Compile team reports covering limitation dates on files and holiday requests to help ensure the FDR team always has appropriate cover.
- Work within the firm’s case management platform, Partner, and help adapt it to FDR requirements by liaising with the IT team.
- Carry out any other finance or administrative work assigned by the Head of Finance Dispute Resolution.
Skills and experience
The successful candidate should be well organised, comfortable working through structured processes, and confident using an analytical approach to solve problems in a practical way. The role also calls for someone who is self-driven, able to work to recurring deadlines, capable of handling several tasks at once, and able to prioritise effectively. Strong teamwork, along with excellent interpersonal, communication, and presentation skills, are also important.
