Role Summary
This position is for a highly organised and proactive Operations & Marketing Coordinator who will help keep two BaxterStorey sites running smoothly on a day-to-day basis. The role is broad and fast-moving, bringing together marketing and communications, operational reporting, systems support, HR administration and general coordination duties.
You will serve as a key contact for site management, kitchen teams and front-of-house teams, helping ensure that information, data and systems stay accurate, current and well communicated internally and to clients.
Key Responsibilities
- Plan and execute monthly marketing activity for both sites using BaxterStorey content as well as content created internally.
- Create digital branding and marketing materials for use on site.
- Prepare and upload digital menus to screens and client intranet systems.
- Publish regular updates on client communication channels and work with client teams during monthly communications calls.
- Keep shared drives organised with marketing assets and run recurring marketing meetings with site management.
- Assist with one-off marketing work such as new concepts, menu updates and branding projects.
- Produce quarterly brochures focused on hospitality and guest experience.
- Update internal client websites with current menus, marketing material and site information.
- Maintain several sales, labour and operational trackers across both sites.
- Spot data issues or inconsistencies and raise them with management when needed.
- Develop new trackers to support requests from kitchen, front-of-house and management teams.
- Keep stock master sheets current, including supplier cost updates.
- Contribute marketing content, retail snapshots and highlights to monthly client reports.
- Prepare data and insights for quarterly and annual reporting.
- Build ad hoc proposals and presentations using PowerPoint and tracker data.
- Circulate monthly Cost of Sales reports for management review.
- Complete weekly timesheets and maintain labour tracking records.
- Handle onboarding for PM and client hires using Access Recruitment, following secure procedures.
- Upload and maintain HR files such as probation letters, performance documentation and personal records.
- Act as the primary contact for till systems, including product uploads and issue resolution.
- Support front-of-house teams with daily menu uploads and marketing updates on Scala.
- Help with nutritional labelling tasks and troubleshooting of label machines.
- Provide general support for site technology and systems problems.
- Record accurate minutes for management and client meetings, share actions and upload supporting documents.
- Deliver ad hoc administrative support to site management as needed.
Requirements
- Strong organisational ability with a sharp eye for detail.
- Comfort managing several priorities across marketing, operations and administration at the same time.
- Good technical skills, especially in Microsoft Excel, PowerPoint and digital platforms.
- Clear and effective written and verbal communication skills.
- Self-motivated, flexible and comfortable working with multiple sites and stakeholders.
- Previous experience in hospitality, contract catering or another busy operational environment is preferred.
