The Customer Service Representative role is responsible for delivering strong service to both internal and external customers by handling data entry accurately, improving processes continuously, and resolving issues quickly.
Key responsibilities
- Handle communication with customers, carrier brokers, and other offices or facilities for service and administrative needs.
- Complete all paperwork tied to inventory moving into and out of the facility, making sure it aligns with client instructions and is processed accurately and on time.
- Support receiving activities by checking documentation, processing it correctly, and following all legal liability obligations.
- Ensure orders are entered and completed promptly in line with each client’s specific requirements.
- Verify shipping paperwork, including bills of lading, and confirm them in the correct system.
- Process approved inventory adjustments to protect inventory accuracy.
- Record, investigate, and resolve customer issues in a timely manner.
- Maintain clear, prompt, and professional communication with both internal teams and external customers.
- Log shipping errors accurately and with close attention to detail on the required records.
- Keep working instructions current and follow ISO Quality Management procedures, updating them when necessary.
- Support dispatch planning and control office activities.
- Coordinate daily KPI details for both internal and external clients.
- Take part in continuous improvement efforts to increase productivity and service quality.
- Carry out any other duties assigned by the company from time to time.
Requirements
- At least 3–4+ years of experience in contract logistics or 3PL.
- 2–3+ years of customer service experience, plus additional administrative or data entry experience.
- Strong English communication skills, both spoken and written, along with presentation ability.
- Good organization and time management skills, with the ability to work under fast-moving, deadline-driven conditions.
- Strong problem-solving ability and the capacity to work independently as well as within a team.
- Comfort using computers and keyboarding, including Microsoft Word and Excel.
- Familiarity with order entry systems and warehouse management systems.
