About the Role
This position is for a well-organized and proactive Administrative Officer who will support the Executive Assistant to the Head of APA and the Country Head. The role is essential to keeping the executive office running smoothly by handling coordination, daily administrative tasks, and communication across internal and external stakeholders.
The ideal candidate will perform well in a busy environment, pay close attention to detail, and handle sensitive matters with a high level of professionalism and discretion.
Administrative and Secretarial Support
- Assist the Executive Assistant and Country Head with everyday administrative and secretarial duties.
- Organize calendars, arrange meetings, and manage appointment scheduling.
- Prepare daily schedules, meeting packs, and other supporting materials.
- Keep documents, files, and records well organized for quick reference and retrieval.
- Handle incoming emails, calls, messages, and other requests as needed.
- Communicate professionally with internal teams, external vendors, customers, and other stakeholders on administrative matters.
- Protect confidential information related to leadership and business operations at all times.
Meeting and Event Coordination
- Arrange meetings by booking rooms, sending calendar invitations, setting up conference calls, organizing catering, and managing visitor registration.
- Prepare agendas, presentation decks, reports, and meeting minutes when required.
- Support the logistics for internal meetings, leadership sessions, town halls, offsite events, and business gatherings.
- Welcome guests and make sure meeting spaces are ready before and cleaned up after sessions.
Travel and Logistics Support
- Coordinate business travel, including flights, hotels, ground transport, visa arrangements, and travel schedules.
- Ensure that travel and logistical needs for visitors, business guests, and regional teams run smoothly.
Expense Claim Administration
- Support expense claim submissions, reimbursements, and invoice handling.
- Monitor administrative spending and retain appropriate backup documentation.
- Follow company policy and keep complete records for all claims and related transactions.
Office and Operational Support
- Order office supplies, stationery, equipment, and other administrative materials.
- Work with facilities, IT, finance, HR, and other internal functions to meet operational requirements.
- Carry out any other administrative tasks assigned from time to time.
