Role overview

The Executive Assistant will provide high-level support to the CEO and serve as a reliable extension of the executive office. This position is responsible for helping the CEO stay organized, informed, and focused in a fast-moving environment where priorities shift frequently. Success in this role requires composure, sound judgment, strong discretion, and the ability to stay several steps ahead.

Core responsibilities

  • Manage the CEO’s calendar across global time zones, balancing competing priorities and protecting time for critical work.
  • Review, filter, reply to, and route incoming messages and correspondence for the CEO.
  • Arrange all aspects of domestic and international travel, including flights, lodging, ground transport, and detailed itineraries.
  • Serve as a dependable point of contact between the CEO and both internal teams and outside partners.
  • Stay ahead of upcoming obligations, keep the CEO updated on time-sensitive matters, and complete follow-through without prompting.
  • Assist with executive-level communications, presentations, meeting agendas, and briefing documents.
  • Prepare and process expense reports and manage confidential materials with professionalism.
  • Help coordinate onboarding for new executive leaders, including logistics and integration into Tatcha’s culture and operating style.
  • Support planning and execution of executive off-sites, leadership gatherings, and company-wide meetings.
  • Take on additional projects and priorities assigned by the CEO or management team.

Qualifications

  • At least 5 years of experience supporting C-suite or senior leaders in a demanding environment, ideally within beauty or luxury.
  • A bachelor’s degree is required.
  • Strong planning, organization, and time-management abilities with excellent attention to detail.
  • Clear written and verbal communication skills, paired with a strong understanding of business etiquette.
  • Professional presence, calm under pressure, and excellent people skills.
  • A global perspective and interest in different cultures and customs.
  • Proven ability to manage sensitive information with discretion.
  • Comfort working independently, prioritizing multiple demands, and adjusting quickly as needs change.
  • Proactive mindset with a habit of anticipating needs before they are stated.
  • Advanced experience using Google Workspace and/or Microsoft 365.
  • Must be located in the San Francisco Bay Area and able to work from the San Francisco headquarters at least two days per week.

Compensation and benefits

The expected annual base pay for this role is between $100,000 and $110,000. Final pay will depend on factors such as experience, skill set, education, location, and budget.

This role is eligible for a discretionary bonus based on individual performance and company results.
