Role Overview

Korsana Biosciences is hiring an Executive Assistant to work closely with senior leadership in a fast-moving biotech setting. Reporting to the Head of Executive Administration, this person will be an important partner to several senior executives and will help keep daily operations running smoothly.

The right candidate will be highly organized, exercise strong judgment, maintain confidentiality, and stay composed while handling shifting priorities. Success in this role requires the ability to work with limited supervision and adapt quickly in an environment that changes frequently.

Key Responsibilities

  • Deliver executive-level administrative support to senior leaders across the company.
  • Handle intricate calendars that change often and require coordination across multiple priorities and stakeholders.
  • Arrange internal and external meetings across teams and time zones, including scheduling, logistics, and follow-up.
  • Assess scheduling requests, rank them appropriately, and resolve calendar conflicts in advance.
  • Prepare agendas and meeting materials so leaders are ready and informed before discussions.
  • Coordinate Board of Directors meetings and other high-level executive sessions.
  • Manage meeting execution end to end, including room setup, scheduling, and post-meeting follow-up.
  • Keep executives briefed and prepared ahead of important meetings and business conversations.
  • Organize domestic and international travel, including airfare, lodging, and ground transportation.
  • Complete expense reports accurately and submit them on time.
  • Monitor and reconcile travel-related spending.
  • Assist with office administration tasks such as supply ordering and routine office support.
  • Help plan onsite meetings, executive visits, interviews, and special events.
  • Take on additional administrative and operational projects as business needs change.

Education and Experience

A bachelor’s degree is required. The company is looking for someone with at least 5 years of experience as an Executive Assistant supporting senior leadership, including C-suite executives. Experience in a fast-paced, scaling biotech environment is required, and startup experience is preferred. Candidates should already have a strong track record managing complex calendars and executive meeting logistics. Familiarity with travel planning and expense systems such as Coupa is preferred.
