Role overview
The Employee Experience Coordinator supports the Talent Acquisition team with recruitment and employee experience administration. The role helps manage the full candidate transition process and provides support on team projects. It also works closely with hiring managers and the team to keep recruitment activities moving smoothly and to cover tasks for the Employee Experience group when needed.
What you will do
- Support Talent Acquisition Specialists and hiring managers with administrative tasks throughout recruitment and onboarding.
- Help ensure the correct interview guides, scoring grids, and other selection tools are used.
- Arrange, administer, and score pre-employment testing and other assessments.
- Coordinate interview schedules by aligning panel availability and booking rooms.
- Manage reference checks, credential verification, and background screening with an outside vendor, confirming completion and identifying concerns.
- Draft internal and external offer letters.
- Contribute as a team member within Talent Acquisition and Employee Experience.
- Handle candidate issues that arise during transition stages and communicate next steps to the right parties.
- Support hiring fairs and related events as required.
- Maintain applicant tracking records so candidate status changes are captured accurately.
- Enter, review, and validate employee information in HR systems, including new hires, transfers, terminations, and benefit enrolments.
- Calculate experience pay before offers are made and in post-hire situations.
- Respond to questions from HR, managers, new hires, and employees about onboarding and transfers.
- Protect the accuracy and integrity of employee data across HR systems.
- Create and maintain employee files in line with internal policies and procedures.
- Keep workflow practices efficient and compliant with organizational rules, HR policies, Total Rewards programs, collective agreements, and applicable federal and provincial employment laws.
- Represent the employer brand positively and help create an excellent experience for candidates and hiring managers.
- Take part in special projects and improvement initiatives related to process and practice enhancements.
What the role requires
- A completed degree, diploma, or certificate in human resources.
- Two to three years of experience entering data into HRIS or payroll systems and producing HR reports.
- At least one to two years of experience in a recruitment coordinator, recruitment assistant, or HR generalist role.
- Recent benefit administration experience, including processing benefit enrolments.
- Preferred exposure to Virtuo HR and Meditech.
- Working knowledge of employment legislation and collective agreement administration.
- Experience in a unionized environment is an asset, and hospital or health care experience is also beneficial.
- Solid understanding of HR processes and best practices.
- Self-motivated, detail-focused, and able to perform well in a fast-paced setting.
- Strong phone communication skills and proper email etiquette.
- Proactive mindset with a strong focus on customer needs.
- Careful attention to detail and good numerical ability.
- Strong time management and organization skills to handle deadlines and payroll cutoffs.
- Excellent communication, interpersonal, and organizational skills.
- Strong client service orientation with the ability to build working relationships.
- Ability to make prompt, sound decisions and deliver strong results.
- Team-oriented approach and willingness to support others.
- Knowledge of employment legislation, collective agreement language, recruitment practices, and employment standards is an asset.
- Strong computer and keyboarding skills, with intermediate to advanced ability in Microsoft Word, Excel, and Outlook, plus HR and applicant tracking systems.
- Ability to travel and work across all Osler sites if needed.

Working schedule and additional information
The current schedule is days, Monday through Friday, although this may change based on operational needs.
Salary range: $63,433.50 to $79,267.50.
