Role overview
Trilogy Health Services is seeking a Central Intake Coordinator to manage referral intake and screening for assigned hospital sources. The role focuses on reviewing clinical and financial information, arranging insurance benefit checks and prior authorizations, and determining whether referrals should be approved or escalated based on each campus’s clinical and financial capacity.
This position works closely with hospital systems, case managers, and facility leaders to keep referral handling moving efficiently from the first receipt through final disposition.
Key responsibilities
- Track incoming hospital referrals through portal systems and confirm each referral has been received.
- Handle the first-stage intake and clinical review for every referral, then classify them as green, yellow, or red light.
- Share referral details with the assigned hospital liaison for any needed follow-up.
- Route all referrals for insurance benefit verification.
- Record referral activity in the CRM system.
- Update referral status in portals, including accepted, denied, or under consideration.
- Forward yellow-light clinical cases to campus clinical support for review and decision-making.
- For non-Medicare A primary referrals, prepare medication cost-out information and submit it to the Divisional Vice President when approval is required.
- Match referrals to the most appropriate campus based on payer source and bed availability.
- Assist the sales function during the early referral process.
- Perform additional related tasks as assigned.
Qualifications
- Associate degree required.
- 3 to 5 years of relevant experience.
Physical requirements
The job involves regular sitting, standing, bending, reaching, stretching, stooping, walking, and moving throughout the workday. Candidates must be able to lift at least 50 lbs and communicate clearly in both verbal and written form with coworkers, supervisors, residents, family members, visitors, vendors, and other business associates.
