Role Overview
Visa is hiring a part-time Receptionist / Assistant Office Manager for its Munich office. In this position, you will be the first person people meet when they arrive, so a polished appearance, warm manner, and professional approach are essential.
The role combines reception duties with light office administration. You will welcome guests, manage incoming mail and courier items, support the Office Manager with day-to-day tasks when needed, look after office supplies, prepare meeting rooms for client visits, and arrange catering.
This position represents 70% of a full-time schedule, equivalent to 28 hours per week.
Front Desk and Administrative Duties
- Receive and direct mail and courier deliveries.
- Welcome visitors, issue visitor passes, and help manage access to the office.
- Monitor office stock and keep supplies at the required level.
- Provide day-to-day backup support to the Munich Office Manager for basic tasks.
- Set up meeting rooms for client sessions and place catering orders as required.
Work Schedule
- Monday: 8:00 to 15:30/16:00, including a 30 to 60 minute break.
- Tuesday: 8:00 to 15:30/16:00, including a 30 to 60 minute break.
- Wednesday: 8:00 to 15:30/16:00, including a 30 to 60 minute break.
- Thursday: 8:00 to 15:30/16:00, including a 30 to 60 minute break.
Work Mode
This is a hybrid role. The number of office days will be confirmed by the hiring manager.
Qualifications
Visa is looking for someone with experience in office administration and office management in a very busy international setting, including support for regional activities and regional offices. Experience in facilities support, hospitality, or executive assistance for other offices is also valuable, as is prior cooperation with senior stakeholders.
You should have strong communication skills and be able to stay effective while working under pressure. Advanced-level English and German are both required.
