Role overview
The organization is hiring an Administrative Support Specialist to help keep hospital operations running efficiently. In this position, you will provide broad administrative support to both clinical and non-clinical teams, carrying out clerical, coordination, and organizational tasks that contribute to smooth day-to-day functioning. Key duties
- Handle incoming and outgoing correspondence and maintain organized communication flow.
- Arrange appointments and support scheduling needs across departments.
- Update, manage, and safeguard patient records and other administrative files.
- Coordinate information exchange between different hospital teams.
- Assist clinical staff with documentation, data entry, and routine clerical tasks.
- Prepare reports and support general administrative documentation needs.
- Respond to phone enquiries in a professional and helpful manner.
- Follow hospital policies and procedures while maintaining confidentiality, professionalism, and a patient-focused approach.
- Support service quality, patient safety, and overall care standards.
Qualifications and experience
Applicants should have a high school diploma or an equivalent qualification. Extra training or certification in office administration or healthcare administration is considered an advantage. The preferred background is one to three years of experience in secretarial or administrative work, ideally gained in a healthcare setting. Strong computer skills are necessary, including working knowledge of Microsoft Word, Excel, and database tools. Experience with electronic health record systems is helpful but not mandatory. No specific license or certification is required. Candidates should also be able to deliver age-appropriate care and service, with awareness of the needs of diverse patient groups.
