Role overview
This position is focused on delivering high-level administrative and executive assistance to senior leadership. The role centers on keeping the executive office organized, managing schedules and communications, coordinating meetings, preparing business documents, and ensuring day-to-day tasks are completed smoothly and confidentially.
What you will do
- Take charge of the executive calendar, appointments, and daily planning.
- Set up internal and external meetings, including preparing agendas, documents, and meeting notes.
- Draft, review, and circulate correspondence, reports, presentations, and other executive materials.
- Handle incoming messages and requests by sorting them, prioritizing them, and ensuring proper follow-up.
- Keep sensitive files, records, and documentation organized and aligned with company procedures.
- Work with internal teams and outside contacts to support clear communication and smooth coordination.
- Manage business travel arrangements such as flights, hotels, transport, and itineraries.
- Monitor action points and follow up to make sure assignments are completed on time.
- Receive visitors, clients, and senior officials in a polished and professional manner.
- Assist with executive-level projects and special assignments as needed.
- Protect confidential information at all times.
- Look for ways to streamline administrative workflows and improve office efficiency.
Qualifications and experience
The ideal candidate should hold a bachelor’s degree in Business Administration, Public Administration, Office Management, or a similar discipline, along with 2 to 4 years of experience in executive secretarial or executive administrative support roles. Prior support experience with senior executives or C-level leaders is preferred.
Skills and working style
Strong planning, time management, written and verbal communication, document preparation, meeting coordination, minute-taking, prioritization, professionalism, discretion, stakeholder handling, attention to detail, and problem-solving are essential. Fluency in both Arabic and English is required, and advanced Microsoft Office skills are important for success in this role.
